We seek a Finance Operations Associate to manage day-to-day BAU tasks including bookkeeping, bank reconciliations, invoicing, and email-based client support—ensuring accuracy, responsiveness, and timeliness in every step. The ideal candidate will have hands-on experience with Xero, familiarity with Australian financial workflows, and excellent written communication skills to support both clients and internal stakeholders. This role plays a key part in maintaining smooth financial operations while offering the chance to grow into broader exposure across FP&A and strategic finance functions.
What You'll Do
1. Finance Operations & Bookkeeping
Perform daily bank reconciliations across multiple Xero bank feeds.
Upload and reconcile bills, expenses, and credit card transactions.
Manage accounts payable and accounts receivable processes.
Issue invoices and follow up on payments when required.
Ensure accurate coding of transactions, GST allocation, and payroll journal entries.
2. Month-End Close Support
Assist with preparation of internal month-end reporting packs.
Coordinate with external bookkeepers and accountants as needed.
Help ensure timely financial close, with a target of within 3 business days.
Support balance sheet reconciliations and documentation collation.
3. Customer Support (Finance Queries)
Monitor and triage emails in shared finance inboxes (e.g., refund requests, payment errors)
Draft high-quality, warm, and professional customer responses via email
Liaise with internal teams (e.g., Credit, Operations) to resolve escalations efficiently
4. FP&A and Financial Reporting (Light Exposure)
Assist in updating financial models and rolling forecasts
Maintain and clean datasets in Google Sheets or Excel (e.g., revenue or expense trackers)
Extract data from internal systems (e.g., underwriting platform, CRM)
Collaboration & Stakeholder Management
Work closely with the Australian-based CFO and Finance function.
Communicate clearly and confidently with internal and external stakeholders.
Collaborate with cross-functional teams when resolving customer or operational issues.
Uphold high standards of discretion and integrity in all financial communications.
Technology and Financial Competence
Use Xero as the primary accounting tool.
Be proficient with Google Sheets, including formulas like SUMIFS, pivot tables, and filters.
Be comfortable navigating modern productivity tools such as Slack, Gmail, Notion, and Google Drive.
Familiarity with workflow automation tools like Zapier or Make is a plus.
Requirements
What You Bring
We’re looking for someone who:
Bachelor’s degree in Accounting, Finance, Business Administration, or a related field is preferred.
At least 2 years of experience in bookkeeping, finance operations, or accounting.
Strong hands-on experience with Xero is mandatory.
Prior experience working with Australian SMEs or startups is a plus.
High attention to detail and a process-oriented mindset.
Excellent written English, especially in customer service contexts.
Basic understanding of FP&A, or an interest in growing in that direction.
Ability to manage multiple workflows and meet deadlines.
Strong interpersonal skills and cultural alignment with Australian working styles.
Comfortable working in a fast-paced, high-growth, remote-first environment.
