Role: Qualifications Administrator

Contract Type: Permanent


This is a Hybrid role: You will need to be located in the South East Region: Buckinghamshire, Berkshire, Surrey or Kent

St John Ambulance works at the heart of communities, supporting and enabling them to access and receive physical and mental health first aid. Job Summary

The Exams Administration Officer is responsible for overseeing course registration and certification processes for learners. They provide expert support for internal and external systems, assisting the Exams Centre Manager in ensuring high levels of customer service and compliance with regulatory and non-regulatory requirements for all SJA and third-party qualifications. This role involves collaboration with awarding bodies, senior management, teaching and administration colleagues, learners, and external customers.


About You

You will be Educated to GCSE level or equivalent (Grade C / 4) including Maths & English, minimum 5, have proven experience of building strong and effective relationships with peers, stakeholders, customers, and partners, have educational administration experience, have experience of maintaining accurate and confidential data, have effective time management skills with both office & remote working, be proficient in intermediate-level Microsoft applications, thrives in high-pressure environments, adept at identifying and prioritising critical issues amid change and have strong problem-solving abilities with keen attention to detail.


About the Role

  • Regulatory Compliance: Develop an understanding of regulatory and non-regulatory requirements for accredited qualifications relevant to the role.
  • Administration: Manage tasks related to administration, including inbox query management, documentation updates, review, registrations, examinations, and certification processes.
  • Course Qualification Processing: Plan, distribute, and assist with course qualification processing, ensuring alignment with both awarding body and SJA requirements.
  • Examination Management: Schedule examinations and oversee the assessment process, including result collation and the distribution of physical and electronic certificates.
  • Problem Solving: Utilise excellent listening and questioning skills to resolve queries and identify underlying issues, escalating to specialist teams or experts when necessary. ➢ Timely Response: Respond within agreed timescales and meet deadlines for assigned areas of work, demonstrating professionalism in all interactions.
  • IT Proficiency: Utilise various IT systems for enquiry management and qualification tracking, along with reporting.
  • External Liaison: Communicate and collaborate with external awarding organisations, such as Future Quals and Qualsafe.
  • Professional Representation: Ensure SJA's professional representation in all communications and interactions.
  • Confidentiality: Maintain appropriate levels of confidentiality, adhering to the Data Protection Act and SJA’s Confidentiality Policy.
  • Financial Duties: Process invoices and purchase orders as required.
  • Team Support: Assist other administrative staff within the Exams Centre and the wider Education Services team when needed.
  • Continuous Improvement: Contribute to the continuous improvement of the Exams Centre by identifying opportunities for more effective working practices and participating in process and service monitoring.
  • Perform any other duties commensurate with these responsibilities, the band of the post and skills and qualifications of the post-holder
