Role Name: Receptionist/Administrative Assistant

Schedule:

  • Part-time (20+ hours per week)
  • Mo-Thu 10 am to 4:30 pm; Fr 10 AM to 3:30 PM - EST

Client Time zone: US-based - EST (South American candidates preferred for time zone alignment)

Job Description

This is an excellent opportunity for a professional administrative assistant to join a thriving legal practice as a key front-office team member. You’ll be the first point of contact for clients, managing essential daily operations while working directly with the business owner in a collaborative environment. Responsibilities
  • Serve as the professional voice of the firm by answering and managing all incoming phone calls
  • Coordinate and manage appointment scheduling and calendar systems
  • Handle comprehensive day-to-day administrative operations to keep the practice running smoothly
  • Support the business owner with various back-office functions and special projects
  • Maintain organized filing systems and administrative processes
  • Provide professional client service and support during business hours
  • Assist with general office management tasks and operational efficiency initiatives


Requirements
  • Excellent verbal communication skills with professional phone manner
  • Proven experience in scheduling, calendar management, and administrative coordination
  • Strong organizational skills and attention to detail
  • Administrative background with office management experience
  • Law firm or legal industry experience is highly valued but not mandatory
  • Ability to work full-schedule (35+ hours per week) consistently
  • Must be located in South America for optimal time zone collaboration
  • Professional demeanour for client-facing interactions
  • Comfortable working with cloud-based systems and technology
  • Bilingual capabilities (English/Spanish) are a plus given diverse client base.
