Job description

About The Role

We are seeking a highly organized and detail-oriented Procurement Coordinator to join our team. This individual will support day-to-day logistics and operational functions, including inbound shipments, inventory management, RMA processing, and SKU maintenance. The ideal candidate has a strong command of Netsuite and Google Sheets, and is comfortable operating independently in a fast-paced environment.


Requirements

Inbound Operations

  • Confirm container receipts and discrepancies for all receipts in NetSuite.

  • If discrepancies are reported by the 3PL, communicate details to the internal team for resolution.

  • Create inbound shipments in NetSuite, including drop ship orders.

  • Manually receive shipments into NetSuite for designated locations (others received automatically).

Inventory Management

  • Allocate inventory to virtual branches in NetSuite.

  • Receive Amazon transfer orders and input landed costs; flag discrepancies to internal stakeholders.

  • Create and submit transfer orders to 3PLs in NetSuite.

Returns Management (RMAs)

  • Add "Return to Sender" records from Aftership to NetSuite.

  • Coordinate and clean up RMA data in Aftership.

  • Support wholesale RMA processing, including 3PL release, return tracking, and receipt confirmation.

SKU Management

  • Push new SKUs to 3PL systems as needed.

  • Keep product images updated in NetSuite.

  • Add and maintain coffee SKUs in NetSuite.

General Operations

  • Perform accurate and timely data entry in NetSuite.

  • Pull and analyze reports from NetSuite to support operational decision-making.

  • Enter and update tasks within Asana.

  • Process customer orders efficiently using NetSuite and Asana.

  • Assist with general inventory planning and stock level monitoring.

  • Track and manage orders from placement through final delivery.

Qualifications:

  • Proven experience in an operations, logistics, or procurement support role.

  • Proficiency in NetSuite and Google Sheets is required.

  • Experience with Asana or a similar project management tool is a plus.

  • Excellent data entry and documentation skills with strong attention to detail.

  • Strong organizational and time management abilities.

  • Ability to work both independently and collaboratively.

  • Clear and professional communication skills.

Hours:

  • Preferred time: start 7 or 8 AM Pacific but we can be flexible.
