Schedule : Monday to Friday, 9 AM to 5:30 PM Pacific Time

Position Overview

We are looking for an entry-level Billing Administrative Assistant to join our team and support our Accounts Receivable (AR) Manager. This role focuses on administrative tasks related to billing operations, such as eligibility checks, claim follow-up, and documentation support. This position does not involve full-cycle billing but provides essential assistance to the AR team to ensure smooth processes and timely reimbursements. This role is essential in supporting our billing operations, ensuring accurate invoicing, and maintaining financial records while contributing to the efficient operation of our services to families.

Key Responsibilities

  • Assist the AR Manager in coordinating and executing daily billing operations
  • Verify client insurance coverage and benefits.
  • Communicate with insurance providers regarding coverage and eligibility.
  • Track claim denials and rejections by reason code and payer.
  • Follow up on unpaid or denied claims.
  • Post payments and reconcile billing records.
  • Generate client invoices and statements.
  • Assist clients with billing inquiries and payment plans.
  • Assist in preparing data for audits (insurance audits, internal compliance checks).
  • Assist with special projects assigned by the Billing Manager.
  • Assist with billing verification and EOB postings
  • Represent BTS professionally and ethically to clients and employees.
  • Address any scheduling conflicts or issues that arise, providing solutions and adjustments as needed.
  • Maintain a warm and welcoming environment, providing excellent customer service.

Requirements

  • High school diploma or GED.
  • Reliable internet connection, your own work computer, and a suitable remote work environment.
  • Ability to work from 9 am to 5:30 pm Pacific time ; however, during heavy work times, staff may be asked to work during after-hours. The candidate must be able to work in the Pacific time zone.

Qualifications

  • 1–2 years of experience in billing, medical claims, or healthcare administration
  • Experience in an ABA/Behavioral Services agency is a plus!
  • Strong experience/skills in excel spreadsheets, including formulas, pivot tables, details, number tracking, etc.
  • Familiarity with medical billing software and electronic health record (EHR) systems.
  • Strong attention to detail and excellent organizational skills.
  • Effective communication skills, both verbal and written.
  • Ability to handle sensitive information with confidentiality.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Spreadsheets, docs).
  • Ability to execute active listening and problem-solving skills to provide exceptional customer service.
  • Ability to react to day-to-day operational requirements in a professional and timely manner.
  • Ability to prioritize and multitask to meet quickly changing session demands and deadlines.
