Event Operations Coordinator (Remote)

Position Overview:
Questex is seeking an Event Operations Coordinator to support our live events. The Event Operations Coordinator will assist with key operational tasks including exhibitor, speaker, and sponsor fulfillment, delegate communications, logistics tracking, and vendor coordination. This role involves working with internal teams and external partners to ensure events run smoothly.

As our Event Operations Coordinator you’ll support Questex’s success by:

  • Ensure contract deliverables for speakers and sponsors are fulfilled accurately and on time.

  • Serve as the point of contact for exhibitors, speakers, and sponsors regarding logistics and on-site needs.

  • Manage exhibitor services, including service kits, floor plans, and sponsorship fulfillment; familiarity with Salesforce, A2Z, and Expo Cad a plus.

  • Coordinate conference logistics including speaker communications, session room setups, and AV requirements.

  • Manage delegate communications related to transportation, accommodations, and dietary needs.

  • Oversee appointment systems for hosted buyer events.

  • Compile reports using Salesforce, A2Z, Smartsheets, and Excel.

  • Assist with sponsorship fulfillment logistics including signage, housing, meeting room assignments, and onsite materials.

  • Support on-site event operations, including vendor check-ins, setup verification, and customer support.

  • Coordinate registration activities in collaboration with the registration team, including onsite staffing and lead retrieval systems.

  • Prepare and ship materials and supplies for events.

  • Assist with on-site sales office operations and contract resign processes.

  • Provide general administrative support to the event operations team as needed.

Your Experience & Education Include:

  • Bachelor’s degree preferred; equivalent administrative or professional experience accepted.

  • 1–3 years of administrative experience required; event experience preferred.

  • Strong written and verbal communication skills.

  • High attention to detail and strong organizational skills.

  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint); familiarity with Office 365, OneDrive, and SharePoint a plus.

  • Ability to manage multiple tasks and deadlines effectively.

  • Willingness and ability to travel as needed.

The expected salary for this position ranges from $61,000 to $70,000. Salary offers are based on a broad scope of factors including relevant skills, training, experience, education, and, where applicable, licensure or certifications obtained.
