Job description

POSITION SUMMARY

 

Process annual, quarterly and monthly license and return applications ensuring accuracy while maintaining internal records. Coordinate with company licensees to deliver and collect state exam reference materials, schedule exams, and maintain necessary records. Assigns continuing education courses. 

 

ESSENTIAL FUNCTIONS

 

  • Obtain various business licenses and registrations, prepare license renewal applications and periodic filings as necessary and to ensure requirements are being met within each jurisdiction.
  • Create, monitor and record license spreadsheets to meet compliance guidelines at all times.  This includes communicating with appropriate licensed employees, external agencies and continuing education providers.
  • Protect individual personal and organization personnel information and safeguard data to maintain privacy. Only share personal information when necessary with permitted sources. 
  • Assist municipalities and agencies with inquiries regarding revenue reporting, licensing processes, regulations, application processing and payments.  
  • Coordinate with Human Resources, team leads, and managers to collect information and to ensure eligibility for licensing requirements are met prior to fulfilling license requests.
  • Design binders for exam study materials with easily identifiable references.
  • Coordinate with Sales Tax Accountant on sales tax reporting to determine licensing eligibility.
  • Prepare periodic reports regarding licensing activities, delinquencies and other issues.
  • Employee may perform other related duties as necessary to meet the ongoing needs of the organization and department.

 

SKILLS

  • Proficient in relevant software so much as Microsoft Office suite, and internal management software. 
  • Pay attention to detail, review documentation, verify information, and identify potential issues or discrepancies.
  • Provide clear and concise information to the public when answering inquires and communicating with internal teams.
  • Read and comprehend instructions, correspondence, and memos. Able to address concerns, resolve issues and find solutions to compliance-related questions.
  • Manage tasks and responsibilities with minimal supervision.
  • Possess a high level of adaptability and willingness to embrace change in practices, policies and procedures.

 

ATTRIBUTES

  • Ability to gather and analyze information skillfully and accurately.
  • Able to identify, calculate and solve practical problems and basic mathematical concepts.
  • A solid understanding of licensing laws, regulations, and procedures is essential.
  • Must possess quality communication skills. 
  • Maintain high degree of confidentiality.
  • Write clearly and informatively; Edits work for spelling and grammar

 

 

EDUCATION/EXPERIENCE

 

Minimum Associates Degree with experience working in a Finance or Compliance Role.

 

PHYSICAL REQUIREMENTS

 

Must occasionally lift and/or move up to 10 pounds

Regularly required to sit, speak, and listen; occasionally required to stand, walk, stoop, kneel, crouch or crawl.
