WHAT YOU GET TO DO

As a Customer Service Coordinator, you will play a key role in keeping the Customer Service team running smoothly. This position blends administrative, organizational, communication, and light financial tasks to support both the broader team and upper management. You will handle confidential and time-sensitive materials, assist in completing administrative work for managers, take detailed notes in meetings, and occasionally support team needs that may involve travel. Due to the nature of this role and the business leaders the role supports, this position is on-site, full-time with some flexibility allowed.

This role calls for strong multi-tasking abilities, excellent communication skills, and a proactive, solutions-focused mindset. You will use sound judgment, creativity, and organizational strength to meet goals and, at times, guide or support the work of others. Essential Functions and Responsibilities:

  • Generate, prepare, and maintain regular reports for the team
  • Create and update customer files and active client lists 
  • Support and follow up ACM
  • Maintain accurate resource files
  • Take clear, organized notes during meetings for follow-up and tracking, define action items
  • Provide administrative support to upper managers, helping complete key tasks and projects
  • Assist in scheduling and calendar management of CS VP
  • Initiate and manage purchase orders in SAP (as applicable)
  • Set reminders and follow-up with managers regarding reconciliation of expense and time reports (SAP, Concur) 
  • Follow-up HR with recruiting activities and coordinate CS onboarding tasks for new hires
  • Organize and schedule team trainings, meetings, and appointments
  • Handle sensitive and confidential information with discretion
  • Improve and coordinate office procedures and systems for better efficiency
  • Respond professionally to emails, phone calls, and in-person inquiries
  • Travel on rare occasions as needed to support business or team needs
  • Contribute to team success by completing related tasks as needed
  • Perform all other duties as assigned 

WHAT YOU HAVE

  • Bachelor’s degree in Business Administration or related field preferred or equivalent combination of education, experience and training.
  • 2+ years direct experience in a customer service or administrative support role
  • Familiarity with office management systems and best practices
  • Excellent time management skills and ability to handle multiple priorities
  • Strong attention to detail and problem-solving abilities
  • Clear and professional written and verbal communication
  • Advanced organizational and planning abilities, especially for management scheduling 
  • Proficiency in Microsoft Office Suite
  • SAP experience is a plus but not required 
  • Ability to work independently and as part of a team
  • Willingness to travel occasionally if needed (rarely)
  • Eagerness to learn and develop new skills

Working Conditions and Environment:

  • Travel required up to 15%
  • Authorization to work in the U.S.
  • Passport or ability to obtain passport
  • Professional office etiquette is required at all times
  • Physical requirements may include: sitting for long periods of time, standing, walking, speaking, visual acuity, finger dexterity, listening, reaching at arm’s length, and lifting up to 30 pounds.
