Job description

Job Title:  Quality Assurance Specialist       
Reports To: Quality Assurance Coordinator
Program: Quality
Location: Remote (On-site as needed)
Hours Per Week: 35
FLSA Status: Exempt 
Salary Range:  $55,000 – $65,000 annually

 Summary Description: The Quality Assurance Specialist will play a critical role in maintaining high standards of care across programs at Greater Mental Health. This position is responsible for conducting detailed chart reviews as per programmatic policies, procedures and best practices guidelines, identifying areas for improvement, and providing individualized feedback and training to staff. The Quality Assurance Specialist supports quality initiatives and strengthens the overall program effectiveness. 

 Key Responsibilities: 

Regulatory Knowledge:

  1. Maintain up-to-date knowledge of applicable regulatory standards for assigned programs.

 Chart Audits:

  1. Conduct regular, detailed reviews of client charts within assigned programs to ensure accuracy, alignment with applicable regulations, and adherence to established best practices.
  2. Develop and utilize audit forms tailored to the specific requirements of each program, ensuring alignment with relevant regulatory standards.
  3. Complete the assigned number of chart reviews within established timelines.
  4. Implement and support ongoing quality assurance audits and assessments as assigned.
  5. Continuously evaluate and enhance service delivery practices to promote quality improvement.

Feedback and Reporting:

  1. Provide clear, actionable feedback to staff and supervisors regarding documentation quality and accuracy.
  2. Conduct debriefs meetings with program leadership to review audit findings and support immediate improvements.
  3. Prepare and deliver quarterly reports summarizing audit trends, systemic issues, and recommendations for quality enhancement, including identification and monitoring of areas requiring a Corrective Action Plan (CAP).
  4. Track patterns and trends in documentation quality and service delivery.

Staff Training and Development:

  1. Collaborative with program leadership to provide training (in-person or virtual) when identified as needed.  
  2. Develop training materials in accordance with programmatic regulatory and best practices guidelines. 
  3. Conduct debriefs sessions post-training to gather feedback and adjust materials as needed.

Process Improvement:

  1. Identify trends, gaps, and opportunities for improvement in documentation and service delivery.
  2. Collaborate with program leadership to develop and implement process enhancements based on audit findings and staff feedback.
  3. Partner closely with program teams to promote a culture of quality and continuous improvement.
  4. Participate in special quality projects and other tasks as assigned.

 Key Competencies: 

  • Strong understanding of mental health services and standards of care
  • Expertise in chart auditing, data analysis, and quality improvement
  • Excellent communication skills for providing feedback and delivering training
  • Highly detail-oriented, with strong organizational and time-management abilities
  • Proficiency with electronic health records (EHR) systems and documentation standards

 Key Performance Indicators (KPIs): 

  • 95% of assigned program audits completed within the scheduled timeframe, with actionable feedback provided to program staff within ten business days post-audit.
  • 90% of identified corrective actions from quality audits will be implemented by staff within 30 days of feedback.

Requirements: 

  • Bachelor’s degree in Psychology, Social Work, Public Health, Healthcare Administration, or a related field. Master’s degree preferred.
  • Minimum of 2 years of experience in quality assurance, compliance, or clinical documentation review, ideally within a mental health or healthcare setting.
  • Strong computer knowledge: typing, communication tools, scheduling tools and web browsers.
  • Proficiency in Microsoft Office suite and database management systems. 
  • Fluency in English (Reading, Writing, Speaking). 
  • Must be cleared and maintain clearance by applicable regulatory clearances as required.   
  • Legally eligible to work in the United States without sponsorship. 

 Special Considerations

Hours per week, reporting structure, and location are subject to change per program needs.

 Mandated Reporter:

This is a Mandated Reporter position.  The NYS Justice Center legislation defines anyone who has regular and substantial contact with any person with special needs as a “custodian” under the law and, therefore, a mandated reporter.  You can be held liable by both the civil and criminal legal systems for intentionally failing to make a report.
