Job description

Inspection Department Coordinator (remote)

Oversees the daily functions of the OC Inspection Department. Assesses the locations of our certified client base
in order to properly assign an Inspector based on qualifications and location of Inspector. Manages Inspectors,
inspection completion (quality and timeliness) and is a direct contact for inspectors. Monitors and oversees the
compliance of the department by: ensuring that each operation is inspected once per calendar year, that the
Annual Unannounced Inspection & Sample requirements are met and that each Inspector undergoes a witness
inspection as the designated intervals. Responsible for keeping the department operating in the most sound and
sensible way to ensure organizational effectiveness and efficiency. Must be able to work in an office environment
and the ability to work independently and as a team with other professionals.

Duties and Responsibilities
• Participates in Inspector new hire process, ensures new inspectors get proper training on OC Systems,
Forms, etc.
• Completes Annual Performance Evaluations for all Inspectors and reviews the Performance Evaluations
with the Inspector.
• Monitors quality of Inspection Reports, handles quality issues with Inspectors as they arise.
• Assigns qualified Inspector to certified sites for all standards / scopes based on Inspector location.
• Performs and assigns Witness Inspections when needed, ensures completion, and follow up on any
corrective actions needed.
• Is a direct contact for inspectors with questions, concerns and complaints.
• Coordinates with Admin for the purchases of the necessary testing equipment in order for inspectors to
complete sample testing.
• Manages and oversees Unannounced Inspection and Residue Sample Testing Surveillance Program to
ensure we meet our annual requirements.
• Monitors Inspection Assignments ensuring assignment deadlines are met and that all clients are inspected
once per calendar year.
• May be the main contact to our third party testing lab, OMIC.
• Keeps up with the industry in regards to sample testing results and sample testing shipments.
• Meet with Director of Compliance (as needed) to ensure new updates are being implemented correctly with
good results.
• Conducts routine meetings in coordination with the Director of Compliance with inspectors for technical,
procedural and informational training.
• Tracks and verifies annual Continuing Education requirements for OC Inspector Pool in compliance with
205.501 (a)(4).
• Optional for attendance for ACA/NOP Training meetings and report education materials back to inspectors.
• May perform Inspections as needed.
• Support new business development efforts through program, quality system and certification
documentation development.
• Perform other duties as assigned.

Qualifications
• Bachelors of Science degree or working knowledge and experience with the National Organic Program
(NOP) standards and regulations, 3-5 years.
• Meets all qualifications listed in Inspector Job Description.
• Excellent communication skills in person, on the phone and in writing.
• Ability to clearly communicate complex and technical concepts.
• Comfort using computer for multiple hours at a time.
• Comfortable managing large groups of people.
• Competency in word processing, formatting, data bases and email applications including of Microsoft
Outlook, Word and Excel.
• Excellent skills to organize, monitor, and track numerous activities throughout the year.

Training Requirements
Prior to Formal Authorization:
• Initial basic training on policies, forms, files, web-system, etc.
• Monitored training period as needed to demonstrate competence
• Access to Inspector qualifications

Yearly Requirements to Maintain Authorization:
• Attendance of department update meetings and review of all notifications of industry updates
• Attendance of Annual OC Training Seminar
• All certification review personnel continuously maintain adequate knowledge and skills in the current USDA
organic standards, certification and compliance processes, traceability audits, mass-balance audits, and
practices applicable to the type, volume, and range of review activities assigned.
• Certification review personnel with less than one year of certification review experience must complete at
least 50 hours of training within their first year performing certification review.
• Certification review personnel with one or more years of certification review experience must annually
complete at least 10 hours of training if conducting certification review related to one area of operation and
an additional 5 hours of training for each additional area of operation.
