Are you ready to take your event planning skills to the next level? The Nevada Supreme Court is seeking a Special Events Facilitator and Facilities Coordinator to join our team in Carson City!

As a Special Events Facilitator, you'll be the mastermind behind a wide array of events hosted by the Nevada Appellate Courts. From bar admission ceremonies to investiture ceremonies, award galas to employee recognition programs, you'll be at the forefront of creating unforgettable experiences that celebrate justice and excellence.

Your role will involve being the liaison between our esteemed Justices, Judges, Court departments, and a variety of stakeholders, ensuring seamless coordination and execution of events. You'll have the opportunity to showcase your creativity by developing and disseminating event materials, managing event logistics, and securing outside venues for our special occasions.

With keen attention to detail, you'll oversee contracts, budgets, and vendor relationships, guaranteeing that every event runs smoothly and exceeds expectations.

This position also conducts routine facility related work including accepting occupant requests and interfacing with external personnel to accomplish the necessary work.

This role may involve duties that must be performed outside of standard business hours (typically 8:00 a.m. to 5:00 p.m., Monday through Friday), including evenings and weekends as necessary.

After an initial training period, there may be an opportunity for a hybrid remote/in-office schedule.

Example of Duties

  • Coordinates and facilitates special events for the Appellate Courts, including bar admission ceremonies, investiture ceremonies, award ceremonies, receptions, employee recognition programs, off-site oral arguments, and other events as directed by the Supreme Court.
  • Serves as a liaison between Justices, Judges, Court departments, internal and external stakeholders, state and local government partners, and vendors in the coordination of special events.
  • Develop and coordinate the publication and dissemination of event related materials including invitations, programs, and other items as required.
  • Update and maintain event related information on the Court's website.
  • Find and secure outside venues for Court sponsored events. Coordinate services for events, such as facilities, catering, signage, audio-visual equipment, displays, special needs requirements, printing, event security, and other necessary services to ensure the logistical requirements for events are met. Monitor vendors for adequacy of service delivery.
  • Under the direction of management, execute contracts and help to develop budgets for events as necessary.
  • Coordinate VIPs and dignitaries at events.
  • Coordinate internal employee recognition programs and events.
  • Receive and coordinate the completion of routine facility related requests.
  • Assist with other facility related projects and activities as directed.
  • Provide staff support as needed to the Administrative Office of the Courts (AOC) projects, Supreme Court committees and commissions, and services.
  • As assigned, arrange and record meetings, and transcribe meeting proceedings.
  • Perform other duties as assigned.

Qualifications

We are looking for candidates with:

  • Event planning and coordination experience;
  • Organizational skills;
  • Public/customer relations experience;
  • Experience assisting or coordinating facility related work;
  • Creativity; and
  • Communication skills.

This position requires the following:

  • Ability to lift and carry at least 50 pounds.
  • Ability to move objects, equipment, and furniture for event setup and teardown.
  • Stamina to stand, walk, and perform physical tasks for extended periods during event

Effectively works remotely and collaborates with employees from a remote location, as needed. Must have expertise in virtual meeting platforms, such as Teams. Must have the ability to work remotely via an internet network connection provided by the employee. This connection speed must be sufficient to perform all duties. A minimum of 50-100 mb download speeds are required. Higher connection speed may be required if sharing this connection with other members in an employee’s household.
