Job description

JOB SUMMARY:

The Advertising & Partnership Coordinator supports the Sr. Manager of Advertising & Partnerships, Sr. Director of Advertising & Partnerships, and VP of Advertising & Partnerships, and the broader Advertising/Partnership team in growing the AOPA Corporate Partnership and Member Benefit Sponsor portfolio and advertising sales across all media channels. The role requires a detail-oriented individual with excellent time management, communication, and organizational skills. The ideal candidate will be proactive, comfortable working independently and collaboratively with partners, sponsors, advertisers, vendors, and internal stakeholders. 

ESSENTIAL FUNCTIONS:  

Partnership, Member Benefit Sponsors & Advertising Support (50%) 

Assist Sr. Manager in successfully achieving departmental revenue goals by supporting the development, execution, and maintenance of advertising, sponsorship and partnership initiatives, including monitoring contracts/agreements, communications and reporting. 

Research and identify prospective partners, sponsors, and advertisers, including non-endemic brands, using internal tools and tracking advertising presence and sponsorship in competitive aviation publications, websites, and events. 

Maintain and update the advertising/prospect database to ensure accurate lead tracking and follow-up. 

Manage member service-related communications/correspondence to resolve member-Partner/Sponsor disputes or issues as they arise (discounts, refunds, etc.) 

Marketing & Sales Support (25%) 

Assist in preparing and distributing communications related to advertising and sponsorship opportunities, deadlines, and deliverables. 

Ensure partner, sponsor, and advertiser assets are collected, organized, and delivered on time. 

Collaborate across departments to ensure partnership, sponsorship, & advertising deliverables/assets are executed on time and meet quality standards. 

Manage and update a variety of templated marketing materials across print, digital, and event channels. 

Assist with the creation and development of sales materials, media kits, and other collateral materials as requested. 

Identify, convey, and coordinate potential sponsorship/event/programmatic opportunities. 

Report Preparation & Analysis (25%) 

Track performance of Partner, Sponsor and Advertiser campaigns using metrics such as engagement, reach, and ROI. 

Collect and distribute quarterly data reports from Member Benefit Sponsors. 

Provide regular performance reports to internal stakeholders and/or partners on established weekly/monthly/quarterly schedules. 

Event Coordination & Support 

Work with appropriate Outreach/Marketing team members to coordinate packing/shipping of partners and sponsorship assets ahead of each event and coordinate logistics such as partner exhibit space and speaking opportunities. 

Manage Sponsorship asset production and inventory levels of Partner collateral and other associated materials. 

Travel to and represent AOPA at selected aviation events and partner conferences as needed (1-3 times annually).

REQUIRED JOB QUALIFICATIONS:  

Associate degree in Marketing or a related field or equivalent experience. 

1 - 3 years of experience successfully coordinating marketing communications programs, campaigns, and projects in an agency setting or within cross-functional marketing teams or a brand. 

Proficiency in Microsoft Office Suite. 

Salesforce Marketing Cloud experience, desired.

WORKING CONDITIONS:  

This position works in an office setting. 

Typical working hours are 8:30 am – 5 pm, Monday through Friday, with a one-hour lunch break. 

Generally, a climate-controlled environment with occasional exposure to outdoor weather conditions when attending aviation related events, including exposure to higher altitudes and confined spaces, if in a general aviation aircraft. 

This position requires some travel, up to 15% of the time, to various general aviation or industry-related events. Travel is by aircraft (general aviation and commercial) and by road or public transit.   

PHYSICAL DEMANDS:  

The physical demands of this position are typical of a standard office environment. While performing the duties of this job, the employee will regularly be required to: 

Sit for extended periods while working at a computer or attending meetings. 

Use hands and fingers to operate a computer keyboard, mouse, and other office equipment. 

Communicate effectively via email, phone, and in-person, which requires clear speech, hearing, and vision. 

Occasionally lift or move items weighing up to 15 pounds, such as boxes of materials or equipment. 

Occasionally stand, walk, and reach with hands and arms during the course of normal office activities.

ADDITIONAL INFORMATION:  
 
This position is located at AOPA’s Frederick, MD headquarters.   

The salary range for this position is: $45,000 - $52,000, depending on education and experience.
