Job description

About the Role:

The Records Management Specialist plays a key role in supporting and advancing the company’s records management program. This position works closely with the Records Manager, Records Management Working Group, and cross-functional teams to ensure compliance with data retention policies and regulatory requirements. The ideal candidate will bring a strong understanding of records management principles, technical systems, and collaborative project execution.

What You’ll Do:

  • Records Management: 
    • Identify and prioritize areas for improvement in the records management program. 
    • Collaborate with legal, compliance, and technology teams to manage and enhance data retention policies and schedules. 
    • Support the development and execution of improvement plans and provide regular updates to management.
  • Technology Assessment: 
    • Understand and assess technical capabilities of storage platforms and applications. 
    • Align system configurations with document retention and destruction requirements. 
    • Partner with technology teams to implement and validate system changes.
  • Communication and Training: 
    • Assist in creating training materials and internal communications to promote awareness of record retention practices.
  • Collaboration and Teamwork: 
    • Work independently and collaboratively on enterprise projects. 
    • Coordinate with vendors and internal teams to ensure compliance and successful implementation of solutions.
  • Compliance and Risk Management: 
    • Monitor adherence to data retention policies and schedules. 
    • Ensure proper documentation and change management for compliance purposes. 
    • Participate in contingency planning and testing.
  • Commitment and Reliability: 
    • Demonstrate reliability in meeting deadlines and managing priorities, including occasional after-hours work.

 

What We’re Looking For:

Experience:

  • Minimum 3 years in Information Governance, Records Management, or a related field. 
  • At least 2 years managing cross-functional initiatives.

Education:

  • Associate’s Degree in a related field (or equivalent combination of education, experience, and certifications).

Required Skills:

  • Strong prioritization and time management abilities. 
  • Excellent communication and customer service skills, including experience with executive stakeholders. 
  • Proven ability to implement technical solutions for record retention. 
  • Familiarity with privacy, compliance, or information security policy development

Working Environment and Physical Demands:

  • Flexibility to work evenings and weekends as needed. 
  • Up to 10% travel required.

Conditions of Employment:

  • This is a full-time, non-remote position
