The Clinical Systems Coordinator is responsible for optimizing the use of clinical information systems within the radiology practice. This role ensures seamless workflow, data integrity, system functionality, and user support to enhance patient care, radiologist efficiency, and regulatory compliance. The coordinator will serve as a key resource for troubleshooting, training, process improvement, and template design and maintenance.
Essential Functions
Support the Radiology quality committee in the design and maintenance of structured report templates ensuring key elements are harmonized and templates are consistent, accurate and complete, while identifying trends and patterns to support decision making and recommend improvements.
Collaborate with department leadership to evaluate clinical workflows, identify opportunities for improvement, optimize system usage, resolve issues, and implement enhancements.
Update system documentation, configuration guides, and user manuals as necessary.
Oversee the assigning of radiology procedure codes to structured templates to ensure accurate billing, proper reimbursement, and consistent documentation within the practice.
Coordinate with department leadership to support the compliance of the Merit-based Incentive Payment System (MIPS).
Review and process RFI addendum requests from coding to update and finalize radiology reports with corrected or additional information.
Ensure the accuracy and integrity of RVU data by regularly updating and managing procedure codes within the radiology workflow software.
Managing and monitoring the Quality Assurance (QA) for radiology reading workstations for medical imaging, ensuring all radiology reading workstations comply with regulations and required security.
Education/ Experience:
Must have a high school diploma or GED
Prior experience working in Radiology or a medical practice preferred
Prior experience working with Physicians highly preferred
1 – 2 years’ experience supporting administrative functions in a medical office or closely related field
Experience with specific clinical systems, such as Powerscribe or Clario preferred
Knowledge/Skills/Abilities:
Must have critical thinking and analytical skills to effectively analyze data
Must have excellent customer service, interpersonal, and communication skills, both verbal and written to effectively communicate with users and stakeholders
Ability to problem solve and troubleshoot, ultimately resolving technical issues.
Must have organizational skills and the ability to manage multiple tasks and projects effectively.
Must understand relevant regulations and standards, such as HIPAA.
Must have Advanced computer skills in Word, Excel, and database management
Knowledge of healthcare quality improvement concepts and best practices
Knowledge of radiology clinical and administrative concepts, practices, and procedures
Knowledge of data collection and analytics
Ability to synthesize information and data
Environmental/ Working Conditions:
Combination of office and offsite meetings, frequent contact with physicians and staff.
