The Outgoing Process Specialist is responsible for the accurate and timely processing of outgoing financial transactions across qualified and non-qualified accounts. These transactions include investment purchases, expense disbursements, distributions, and account transfers. The specialist ensures all transactions meet regulatory requirements, internal control standards, and custodial policies. This role plays a critical part in supporting the integrity of client assets, contributing to risk mitigation efforts, and delivering efficient, high-quality operational support.
Essential Duties & Responsibilities
Process a variety of outgoing transactions, including investment purchases (private and public), expense disbursements, cash distributions, and account transfers.
Review and verify transaction instructions and support documentation to ensure accuracy, completeness, and compliance with regulatory and internal requirements.
Communicate with internal teams and external parties to resolve discrepancies or obtain missing information to prevent delays.
Apply appropriate due diligence measures, including payee verification, sanctions screening, and fraud prevention protocols.
Maintain accurate records and supporting documentation to ensure audit readiness and regulatory compliance.
Execute disbursements in accordance with established approval workflows and operational controls.
Monitor transaction status and perform timely follow-up to ensure resolution and closure of outstanding items.
Stay informed of policy updates and regulatory changes affecting qualified and non-qualified accounts.
Identify operational inefficiencies or control gaps and recommend process improvements.
Support team development by assisting with the training and mentoring of colleagues as needed.
Required Qualifications
