Job description

The Outgoing Process Specialist is responsible for the accurate and timely processing of outgoing financial transactions across qualified and non-qualified accounts. These transactions include investment purchases, expense disbursements, distributions, and account transfers. The specialist ensures all transactions meet regulatory requirements, internal control standards, and custodial policies. This role plays a critical part in supporting the integrity of client assets, contributing to risk mitigation efforts, and delivering efficient, high-quality operational support. 

Essential Duties & Responsibilities
  • Process a variety of outgoing transactions, including investment purchases (private and public), expense disbursements, cash distributions, and account transfers. 
  • Review and verify transaction instructions and support documentation to ensure accuracy, completeness, and compliance with regulatory and internal requirements. 
  • Communicate with internal teams and external parties to resolve discrepancies or obtain missing information to prevent delays. 
  • Apply appropriate due diligence measures, including payee verification, sanctions screening, and fraud prevention protocols. 
  • Maintain accurate records and supporting documentation to ensure audit readiness and regulatory compliance. 
  • Execute disbursements in accordance with established approval workflows and operational controls. 
  • Monitor transaction status and perform timely follow-up to ensure resolution and closure of outstanding items. 
  • Stay informed of policy updates and regulatory changes affecting qualified and non-qualified accounts. 
  • Identify operational inefficiencies or control gaps and recommend process improvements. 
  • Support team development by assisting with the training and mentoring of colleagues as needed. 

  • Required Qualifications

  • 2+ years of experience in financial operations, disbursements, or transaction processing, preferably in a custodial or trust environment.
  • Working knowledge of qualified and non-qualified account structures, including investment and distribution rules.
  • Familiarity with private investment documentation and disbursement procedures.
