Job Title: Executive & Admin Assistant (Remote)


About the Role:


We’re looking for a proactive, organized, and driven Executive Assistant to join our team. This dual-role position is ideal for someone who thrives on structure, enjoys rapid progress, is adaptable to change, values effective communication, and can handle both client-facing tasks and internal administrative support.


Executive Assistant Duties:

  • Manage and organize the executive’s calendar and inbox.
  • Help plan, coordinate meetings, travel, and events.
  • Take meeting notes and follow up on action items.
  • Support with light project management and research tasks.
  • Follow up with leads after the discovery call to obtain/motivate them to complete the questionnaire and upload requested documents to schedule a tax planning strategy call to offer annual tax planning and implementation for the year.
  • Manage firm-wide tasks and distribute them to the responsible team members, set deadlines, and coordinate with clients for pending items etc. The goal is not to let any task or client request fall through the cracks, and all deliverables (both external and internal) are completed on or before the deadlines.
  • Support the key team members in preparing the updates to report to the CEO.

  • Have experience with CRM tools, like Go Highlevel, Taxdome, Google Workspace, and scheduling software.

Bonus Points If You Have:

  • Experience in a similar hybrid EA/appointment-setting role.
  • Familiarity with online business tools like Calendly, Slack, Notion, or ClickUp.
  • Basic knowledge of the tax industry.
  • Work experience during PST hours
  • Prior  CPA firm experience
