SUMMARY: Coordination of customs clearance of import/export shipments and transportation in various countries/regions
Responsibilities
- Provide guidance to project teams and suppliers on import/export activities in countries/region of responsibility (e.g. import/export requirements, recommendations for selecting transportation conditions and carriers, estimating shipping and customs clearance timelines/costs, possible risks/extra expenses)
- Obtain import/export permissions associated with logistics activities in countries/region of responsibility
- Track the obtained import/export permissions: their location, validity period, and remaining quotas if applicable in countries/region of responsibility
- Notification of project teams about upcoming expiration of import/export permissions in countries/region of responsibility
- Preparation of documents required for customs clearance of import/export shipments in countries/region of responsibility
- Communication with suppliers, customs brokers and transport companies regarding import/export shipment details and conditions in countries/region of responsibility
- Coordination of customs clearance process for import/export shipments in countries/region of responsibility
- Maintain tracking of import/export shipments in countries/region of responsibility
- Keep project teams and depot (where applicable) updated about status of ongoing import/export shipments in countries/region of responsibility
- Processing of bills for delivery and custom clearance where applicable and in countries/region of responsibility
- Arrange incoming/outgoing courier deliveries (excluding those of own Worldwide depots) in countries/region of responsibility
- Maintain courier and customs brokers rate cards in countries/region of responsibility
- Request costs from couriers and customs brokers on demand in countries/region of responsibility
- Submit appropriate documents resulted by logistics activities to eTMF where applicable for countries/region of responsibility
- Monitor of quality of customs brokers and courier services, including those of depot in countries/region of responsibility
- Taking part in handling claims in countries/region of responsibility
- Local sourcing of study drugs and materials in the countries where the Company has own depots
- Provide reporting and reconciliation of performed activities in countries/region of responsibility
- Follow Worldwide’s procedures

Requirements
Education: Higher education
English language: Upper Intermediate written and spoken
Experience: At least 1 year experience in logistics activities, including import and export operations in various countries/region or 1 year experience in clinical trials. Relevant experience within the company is considered
Other Skills
- High level of responsibility and accountability in all tasks
- Communication skills
- Ability to effectively perform in demanding situations
- Proficiency in computer skills, including familiarity with relevant software and application (MS Office)
Promotion to the next level is not automatic based on years of experience. Personnel are evaluated on proven competency, level of responsibility, and ability to work independently.
