We’re looking for an Executive Assistant who will provide high-impact support to senior leaders at Zapier.
In this role, you’ll report to the EA Team Lead and provide dedicated support to 2–3 executive team members. You’ll also work closely with the Executive Business Partner (our most senior EA) supporting the same department, partnering on special projects and occasionally taking on delegated responsibilities. 3+ years of experience as an Executive Assistant, Administrative Business Partner, or in a role with comparable responsibilities.
You’re a strong communicator—clear, concise, and thoughtful in your interactions with a variety of stakeholders. You can read the room, ask consultative questions when things are unclear, and flex your communication style based on the audience.
You default to action and can confidently move work forward in ambiguous situations.
You’re a skilled project manager who can easily backplan and coordinate large initiatives like executive offsites, cross-functional workstreams, or even a new product launch.
You’re comfortable working in partnership with a senior EA (Executive Business Partner) on high-impact projects and delegated initiatives. You know how to build trust, coordinate effectively, and flex between direct support and collaborative work.
You collaborate exceptionally well with other operations professionals, working together to define roles and responsibilities, create clarity in who owns what, and surface problems early—before they become issues.
You value a tight-knit, low-ego team culture where helping each other succeed is the norm. You care just as much about supporting the broader team as you do about supporting the executive directly.
You have exceptional organizational skills, a sharp eye for detail, and the ability to juggle competing priorities with grace.

Executive Support and Scheduling Mastery: You will manage the schedules and task systems for executives, ensuring their focus remains on strategic business outcomes. This includes:
Staying ahead of shifting priorities and deadlines, strategically enhancing meeting rhythms, and ensuring optimal time management for executives.
Implementing improvements to streamline information flow and occasionally handling personal scheduling to maximize executives’ effectiveness.
Handle a broad variety of administrative tasks such as creating prep documents for interviews, setting up communication channels, assisting with onboarding plans, and planning team engagements.
Arrange travel plans and work with the Events + Experiences team to support team offsite planning.
Special Projects & EBP Collaboration:
Work closely with the Executive Business Partner in your department on special initiatives. This may include project work, coordination support, and occasionally owning delegated responsibilities.
Project & Event Management:
Plan and execute complex projects end-to-end—like executive offsites, internal initiatives, or cross-functional projects. You’ll handle backplanning, comms, logistics, and stakeholder alignment.
Meeting and Team Operations:
Prepare agendas, manage meeting flow, capture notes, and follow up on action items to keep leadership teams on track and aligned.
Communication & Relationship Management:
Own executive communications, triage inbound requests, and serve as a liaison across teams. Build strong relationships internally and externally to help your execs—and their teams—operate at their best.
Collaboration & Cross-Functional Coordination:
Work in lockstep with fellow EAs and operations professionals. You’ll clarify swim lanes, share responsibilities, and create shared visibility—because we know strong team collaboration is what prevents issues before they arise.
Process Improvement & Innovation:
Look for opportunities to automate, simplify, or improve how work gets done. You’ll bring a curious mindset and experiment with new tools—especially AI—to boost efficiency.
EA Team Collaboration:
Contribute to a strong, low-ego EA team culture by sharing tools, insights, and best practices. Step in to support teammates when needed and help evolve how the team operates together.
