Job Title

Hospitality Sales Support Coordinator

Position Overview

Joint team member of Regional Hospitality Sales & Custom Customer Service providing superior customer contact and project management results to increase sales growth as well as administrative support for the regional sales team. This position supports several Hospitality account managers including support for several strategic and annuity accounts. Our Hospitality Sales Coordinator will be assisting our account managers with the project management piece for our largest hospitality clients. They will help manage project registration in SFDC, quotes, samples, estimates, orders, claims, and reconciliations. This position will initiate and proactively be the communication piece between sales, customer service, and the customer while building and enhancing relationships and the overall experience for all.


Responsibilities:

  • Serve as the single point of contact for key local market customers and sales team for problem resolution, order processing, maintenance information, claims initiation, project initiation in SFDC, quoting, and providing timely and effective communication for superior customer management and support.

  • Manage all inquiries for key local market customers acting as a liaison for other internal departments.

  • Serve as interim TM in vacant territories by following up on projects, providing pricing and necessary information to secure orders and future business.

  • Follow up on Proforma Invoices, payments from customers required to release critical orders, and coordinate with customer and distribution to facilitate shipment in a timely manner.

  • Create new projects in SFDC

  • Send formal Quotes on projects to Customers through SFDC.

  • Support other sales support coordinators when needed

  • Order and follow up on key sample requests required for strategic sales appointments.

  • Follow up on all Orders scheduled to ship to meet a critical project timeline.

  • Distribute PDF documents to customers for product specifications, price lists, installation data, care & maintenance, warranty, etc.

  • Enter and track all Mockup requests and then coordinate follow up timelines

  • Respond to customer requests via email supporting the sales team

  • Help initiate claims in ShawNow and follow through to completion. This will include scheduling any necessary onsite inspections with the claims manager.

  • Maintain a project management listing for all open projects.

  • Email order confirmation, estimated ship date, requested ship date, and buyer's name.

  • Enter running line sample orders for carpet/LVT/resilient/Hospitality Brands

  • Continued learning in a team environment and individually


Requirements:

  • High School education or equivalent.

  • Experience: Two years' experience in a customer facing service environment.

  • Experience: salesforce.com, ShawOnlineLive

  • Must be able to use communication methods with company resources such as phone, text, email and voicemail.

  • Must communicate well both verbally and in writing.

  • Must possess good time management and organizational skills.

  • Must have a strong work ethic and work well in a team environment.

  • Must approach job responsibilities with a professional attitude.

Preferences:

  • Previous sales experience

  • Experience: Proficiency in ShawOnlineLive Order Entry/Modification

  • Experience: Proficiency in Glink/Vista

  • Experience: Proficiency in Salesforce cases

  • Experience: Proficiency in ShawNow

  • Experience: Understanding of the Hospitality & Custom Process

Work Shift

8 Hr non-rotating shift, Hrs fall to in punch day, Observed Calendar, shift starts AM
