Job description

This is a remote position.

Virtual Rockstar is seeking a full-time Medical Virtual Assistant to join our client’s dynamic diagnostics team. This position will be instrumental in managing EMG scheduling, insurance verification, patient communication, and billing processes. The ideal candidate will have experience working with medical office management, excellent organizational skills, and the ability to handle multiple tasks in a fast-paced environment.

We are looking for a highly organized and proactive Medical Virtual Assistant to join our team and support our growing practice.

Responsibilities:

  • Scheduling & Coordination:

    • Schedule EMG appointments for 1-2 days per week, including receiving referrals through EMR, calling patients, and sending text reminders.

    • Communicate with providers to keep their schedules up to date and answer any scheduling-related questions.

    • Handle appointment rescheduling and ensure smooth coordination between providers and patients.

  • Insurance & Billing:

    • Verify patient insurance coverage, obtain pre-authorizations as needed, and ensure patient files are updated with accurate insurance information.

    • Work with EMR and Waystar to bill for EMG procedures and follow up on unpaid claims.

    • Track status of pending insurance claims, resolve billing discrepancies, and ensure compliance with billing regulations.

    • Assist with generating and sending invoices, as well as reviewing and appealing denied claims.

  • Administrative Support:

    • Answer phone calls related to scheduling, patient inquiries, and sending patient results/reports.

    • Respond to patient inquiries via phone or email in a timely manner.

    • Maintain and update patient records in EMR, ensuring all documentation is complete and accurate.

    • Manage the appointment calendar, sending reminders to patients and coordinating with the medical staff to optimize daily schedules.

    • Handle referrals from other healthcare providers, ensuring they are processed efficiently.

  • Additional Tasks:

    • Prepare documents and manage email correspondence.

    • Perform data entry and generate basic reports for management.

    • Liaise with insurance providers to clarify coverage details and assist patients with insurance-related queries.

    • Ensure patient privacy and confidentiality in accordance with HIPAA regulations.



Requirements
  • Experience as a Medical Virtual Assistant or in a similar administrative support role within a medical practice.

  • Proficiency with EMR systems (preferably Empower EMR), Availity, Waystar, and other insurance platforms (experience with Kentucky Medicaid is a plus).

  • Strong communication skills with the ability to interact professionally with patients, providers, and insurance companies.

  • Excellent organizational skills and the ability to manage multiple tasks effectively and efficiently.

  • Familiarity with medical billing, insurance verification, and claim follow-up.

  • Ability to handle confidential information and ensure compliance with HIPAA regulations.

  • Self-motivated, detail-oriented, and able to work independently in a virtual setting.
