REPORTS TO: Global Director, People and Culture

Objective
The People & Culture (PC) Project Coordinator will provide administrative and operational support across key HR functions at Equality Now.  This role will provide critical administrative support to a newly created People & Culture (PC) department, supporting data management, policy research, recruitment enhancements, compliance-related administrative support, and overall People & Culture initiatives. 

This role is ideal for an individual looking to contribute to HR operations, compliance, and policy refinement within a dynamic organization. This is not a strategic role and is best suited for someone comfortable in an execution-focused position.

 

Key Responsibilities

Administrative Support:

  • Organize and maintain PC records, ensuring accurate data mapping and filing of PC mail and documents.
  • Assist with administrative payroll reporting, ensuring compliance with state and organizational requirements.
  • Support HRIS data entry, updates, and system improvements.
  • Support the creation of an internal PC administration manual.
  • Review and map out PC filling systems using Google Drive.

Recruitment & Talent Management Support:

  • Assist in refining and improving recruitment processes and documentation.
  • Maintain job postings, track applications, and coordinate interview logistics.
  • Revise and update job descriptions to ensure consistency and alignment with organizational needs.

Policy Audits & Updates:

  • Support policy audits and assist in drafting gathering data to ensure compliance with international legal and organizational standards.
  • Copy-edit and refine PC policies, procedures, and role charters.
  • Conduct research on PC best practices and regulatory changes to inform policy revisions.

Compliance & Operations Support:

  • Assist in preparing and maintaining documentation for audits and internal PC reviews.
  • Support PC operational initiatives, including employee records management and reporting.

Other Duties as Assigned:

  • Perform other related duties as assigned or as needs are discovered, including exploring innovative solutions utilizing AI tools to streamline HR processes and improve operational efficiency.

Qualifications:

  • Minimum of 1 year of experience in HR, administrative support, or compliance-related roles.
  • Experience working with HRIS systems and data management tools is essential.
  • Previous exposure to talent management, recruitment processes, and employee engagement initiatives is desirable.
  • Familiarity with nonprofit organizations or global NGOs is a plus.

Technical Skills:

  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and HRIS systems.
  • Demonstrated ability to utilize data management tools effectively for HR reporting and analysis.
  • Familiarity with AI tools that can streamline HR processes is an advantage.

Organizational and Project Management Skills:

  • Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
  • Demonstrated attention to detail and a commitment to accuracy in HR documentation and reporting.
  • Ability to handle deadlines and work in a fast-paced environment, particularly during transition phases.
  • Ability to work with minimal supervision and operate effectively in a scaling, dynamic organization where processes are evolving and hands-on problem-solving is required.
  • Strong follow-through skills with the ability to take initiative and ensure tasks are completed to a high standard.

Communication Skills:

  • Excellent written and verbal communication skills.
  • Ability to draft clear and concise HR documentation and communications.
  • Strong interpersonal skills with the ability to work collaboratively with diverse teams.

Compliance and Policy Knowledge:

  • Understanding of US HR-related regulatory requirements and compliance standards.
  • Ability to conduct research on best practices related to HR policies and make informed recommendations for improvements.

Adaptability and Problem-Solving Skills:

  • Ability to perform other related duties as assigned or as needs are discovered, showcasing flexibility and a proactive approach.
  • Demonstrated problem-solving skills and the ability to think critically in order to overcome challenges.
