This is a remote position.

Paid hours per week: 20 hours

Schedule: Monday to Friday, 11:00 AM – 3:00 PM, [Break duration] | Preston, VIC (Australian Eastern Standard Time)

Job Description

Responsibilities
  • Manage a high-volume email inbox with precision, ensuring timely responses and diligent follow-ups to maintain excellent communication with clients, partners, and stakeholders
  • Oversee the lifecycle of critical documents, from creation to signature acquisition and proper filing, maintaining a highly organized and easily accessible digital filing system
  • Perform essential bookkeeping tasks to support financial operations, contributing to the organization’s fiscal health and accountability
  • Conduct professional follow-up calls to clients, partners, or other stakeholders, representing the organization with empathy and competence
  • Provide comprehensive administrative support to enhance the efficiency of daily operations, allowing the core team to focus on direct client support and treatment services
  • Assist in streamlining processes and suggesting improvements to boost overall organizational effectiveness


Requirements
  • Proven track record of excellent organizational skills with a keen eye for detail in a fast-paced environment
  • Outstanding written and verbal communication skills, with the ability to interact professionally and empathetically with diverse stakeholders
  • Proficiency in email management tools, digital filing systems, and basic bookkeeping software
  • Demonstrated ability to handle sensitive and confidential information with the utmost discretion and professionalism
  • Comfortable making phone calls and interacting with various stakeholders in a manner that reflects the organization’s values and mission
  • Self-motivated with the ability to work independently in a remote setting while maintaining strong connections with the team

  • Flexibility to work 20 hours per week, with the potential for increased hours as the organization grows
  • Experience in healthcare or social services administration is a plus, but not required
