POSITION SUMMARY:

The GCMA Business Operations Manager will report to the Vice President, Grants & Contracts Management and Administration (GCMA) and will play a key role in supporting communications, projects and operations for the GCMA department. GCMA supports the grantmaking activity of the CF Foundation, including more than 2,000 active medical research grants totaling over $200M per year. This position works closely with the 30-person GCMA staff, and across multiple CF Foundation departments such as Research Affairs, Clinical Affairs, Clinical Trials, Finance, Compliance, IT, Communications, Legal, and Enterprise Risk Services to contribute to departmental and organizational strategy and build trusted relationships with our constituents.

Specifically, the GCMA Business Operations Manager will play a critical role in overseeing and managing day-to-day operations and special projects within the department. They will be responsible for planning, implementing, and executing a wide range of initiatives that align with strategic goals and objectives. This individual is a big picture thinker, researcher, planner, and self-starter with strong project management, document development, meeting facilitation, and organizational skills. This individual has strong executive communication skills, including strong attention to detail, and the ability to work cross-functionally with various teams and stakeholders. The position requires flexibility, dependability, confidentiality, and willingness to work on a range of projects and topical areas.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Implements and refines the department’s internal communications and change management plans, including organizing and facilitating department meetings and retreats.

  • Keeps abreast of Foundation initiatives, projects and core activities and distills information for our department to ensure our work is done in coordination with and support of these broader initiatives and goals.

  • Manages day-to-day operations including implementing project plans, managing meeting logistics, and overseeing system and records maintenance.

  • Monitors and analyzes department operations and Key Performance Indicators (KPIs) to identify areas for process improvement and efficiency, as well as to make processes more inclusive, equitable, and accessible.

  • Oversees department-wide employee engagement and training activities, fostering a culture of inclusion, belonging, and continuous development.

  • Shares best practices and lessons learned across the organization and from peers to inform our operations.

  • Manages department budget, resources, and timelines to ensure alignment with broader department and strategic plans.

  • Acts as a point of contact for resolving operational challenges and escalating issues when needed.

  • Oversees invoicing responsibilities for the department.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  • Bachelor's degree or equivalent years of work experience required.

  • Minimum of 4-6 years of relevant professional work experience required.

  • Experience with budget management preferred.

  • Project management and change management experience required; certifications a plus.

  • Strong knowledge of project and change management methodologies and tools.

  • Exceptional written and verbal communication skills; ability to communicate effectively with all levels of staff throughout the organization.

  • Excellent data visualization skills.

  • Superb time management and organization skills including the ability to handle multiple tasks, prioritize and keep organized to ensure timely and accurate work.

  • Keen attention to detail required.

  • Ability to work independently.

  • Ability to thrive in a fast-paced, dynamic environment, adapting to changing priorities and deadlines.

  • Proficiency in Microsoft Office suite (Excel, Word, PowerPoint, Teams) and Adobe. 

WORKING CONDITIONS:

  • Normal office environment with little exposure to excessive noise, dust, and temperature.

  • No heavy lifting required.

  • Minimal travel (e.g., 2x/yr.) to conferences and meetings, as necessary.

The salary range is $91,500.00 to $114,200.00. Specific salary varies based on geographic location and is commensurate with experience.
