Schedule: Monday to Friday, 8am to 5pm Eastern with 1-hour unpaid break
Manage communication, scheduling, and data analysis for a senior executive in a multi-state law firm
Coordinate events and travel across multiple states
Provide high-level support for strategic business decisions and day-to-day operations
Responsibilities
Manage and prioritize a high-volume email inbox (50-200 emails daily)
Sort, organize, and distinguish between sales pitches and important information
Schedule and coordinate bi-weekly events, sometimes 2-3 per week, for account executive teams across multiple states
Liaise with production team for event invitation creation
Secure venues and execute contracts for events
Extract and analyze data from CRM to create reports on business performance and ROI across different practice areas and medium types
Coordinate travel arrangements 2-3 times a month, including flights, hotels, and car rentals
Manage executive’s daily schedule and prioritize tasks
Provide information and analytics for key business decisions
Requirements
Extensive experience as an executive assistant in a fast-paced, professional environment
Strong organizational and multitasking skills with ability to handle complex schedules
Proficiency in data analysis, report creation, and CRM systems
Excellent communication and interpersonal skills
Ability to work independently and manage multiple high-priority projects
Advanced proficiency in Microsoft Office suite and scheduling software
Strong analytical and problem-solving skills
Ability to maintain strict confidentiality and exercise discretion
