Job description

About Pavago:
We are seeking a full-time Executive Assistant to support our client’s business operations and marketing initiatives. The ideal candidate is organized, tech-savvy, and quick to learn new software, leveraging ChatGPT and other AI tools as part of their workflow. Experience with graphic design, video editing, CRM management, course development tools, website management, and social media strategy is a plus.

Responsibilities:

  • Administrative & Operational Support: Provide support in managing emails, calendars, task tracking, and project coordination. Ensure smooth day-to-day operations by organizing and prioritizing tasks efficiently.
  • Marketing & Content Management: Assist in developing and executing marketing strategies to enhance brand visibility. Create and manage content for social media, newsletters, presentations, and other organizational materials.
  • CRM & Workflow Automation: Manage and update the CRM (Zoho) to ensure accurate contact records and optimize workflow automation. Track client interactions and streamline processes for better efficiency.
  • E-Learning & Course Development: Support course development by leveraging e-learning tools to design and manage online training materials. Assist in structuring and updating educational content to enhance user engagement.
  • Website & Digital Platform Management: Update and manage the company’s digital platforms, ensuring content accuracy and consistency with branding. Implement page updates and optimize digital presence for better user experience.

What Makes You a Perfect Fit:

  • Excellent English communication (written & verbal).
  • Proficiency in AI tools (ChatGPT, automation, etc.).
  • Experience or willingness to learn course development tools (LMS platforms, content authoring tools, etc.).
  • Experience in CRM management (Zoho preferred) and workflow automation.
  • Strong initiative, critical thinking, and ability to work independently.
  • Quick learner with strong attention to detail, and adaptability to new software tools.
  • Receptive to feedback and open dialogue, fostering a collaborative and growth-oriented work environment.
  • Availability in EST time zone (some overlap is acceptable) with flexibility for occasional weekends.

Preferred Skills:

  • Graphic design and video editing.
  • Experience in social media management, including audience engagement, analytics, and growth strategies.

Zoho Suite, Trello, QuickBooks, Canva, Adobe Suite, Google Sheets/MS Excel, Mailchimp, AI tools, LMS and course development tools, Website CMS, WhatsApp, Zoom, Loom, Email.

What Does a Typical Day Look Like?

Start the day by checking emails, responding to inquiries, and organizing the calendar. Coordinate with team members and manage ongoing projects. Develop and schedule social media content and newsletters. Update CRM records, track leads, and maintain workflow automation. Assist in course development and e-learning content creation. Research trends and new tools to optimize marketing and administrative strategies.
