Job Title: Sales Administrator

Type of employment: Permanent, Full time, Remote

Location: This is a remote role based in Bulgaria. You need to be based in Bulgaria and have the rights to work without visa sponsorship. We are unable to offer visa sponsorship for this position.

Requirements

Position Overview:

We are seeking a highly organised and detail-oriented Sales Administrator to join our dynamic sales team. This role is designed to enhance the efficiency and productivity of the sales function by handling key administrative tasks, maintaining data accuracy, and supporting the team with the creation of tailored demo environments and videos.

This role will be based in Bulgaria, working closely with the Account Support team in the Client Success department to foster collaboration. The Sales Administrator will play a vital role in ensuring seamless sales operations, freeing senior team members to focus on strategic initiatives.

Key Responsibilities:

Demo & Sales Enablement Support:

  • Prepare bespoke demo environments tailored to retailer prospects’ needs, as directed by the sales team.
  • Develop demo videos for individual retailers and industry trade shows, ensuring key features are highlighted and keeping generic feature videos updated.

CRM & Data Management:

  • Act as the primary focal point for CRM management, maintaining dashboards, ensuring data accuracy, and coordinating updates with the sales team.
  • Work closely with the tech team to develop and refine sales dashboards.
  • Manage pipeline reporting, generating weekly and ad-hoc reports summarizing sales performance against targets for review by Commercial & Sales Directors.

Contract & Document Management:

  • Serve as the central administrator for ContractBook, ensuring templates are up-to-date, version control is maintained, and files are well-organized.
  • Manage the overall contract database and serve as the focal point for contract-related requests.

Sales Operations & Coordination:

  • Support RFI, RFP, and Tender processes, gathering necessary data and assisting in document preparation.
  • Assist in the production of Monthly Business Review (MBR) decks, ensuring data accuracy and consistency in reporting tables.
  • Organize and manage ad hoc projects involving data collation and reporting.
  • Plan and coordinate team meetings, including venue booking, agenda preparation, and guest speaker arrangements.
  • Assist Sales and Marketing teams in planning trade shows, coordinating appointments, and handling communication logistics.

What you’ll need to be successful:

  • Strong administrative and organizational skills with keen attention to detail.  Experience with Asana or similar is preferred
  • Experience in CRM management, preferably with HubSpot or a similar system.
  • Ability to manage multiple projects simultaneously while meeting deadlines.
  • Strong communication skills in English, both written and verbal.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and data reporting tools.
  • Experience in sales support, operations, or a related field is an advantage.
  • Familiarity with video editing software is a plus but not required.
  • Be willing to learn and communicate ZigZag’s technical (e.g. APIs) and logistic solutions to technical and non-technical audiences.  Support and training will be provided.
  • Self-motivated and proactive, with the ability to work independently and as part of a team.
