Job description

This is a remote position.

Job Highlights:

Contract: Independent Contractor
Schedule:
Monday to Friday, 9:00 AM to 6:00 PM Texas time, with a 1-hour unpaid break, 40 hours / week

Overview:
We are seeking a highly organized, detail-oriented, and systematic Administrative Assistant to support our sales and marketing teams with back-office tasks. The ideal candidate is comfortable handling repetitive tasks, using AI tools like ChatGPT, and working with confidential information in a secure virtual environment. There is potential for flexible scheduling after the initial training period.

Key Responsibilities:

  • Provide administrative support to the sales and marketing teams.

  • Assist recruiters with tasks such as compiling candidate lists from LinkedIn.

  • Enter candidate contact information into ATS and proprietary systems.

  • Schedule interviews, send calendar invites, and draft email communications.

  • Run reports on recruiter statistics and job orders.

  • Manage social media calendars for recruiters.

  • Find and add relevant articles to social media accounts.

  • Assist in generating blog content using AI tools like ChatGPT.

  • Edit AI-generated content for job ads, blog posts, and marketing materials.

  • Follow templates to create job advertisements and other standardized documents.


Requirements

✔ Proficiency in using AI tools like ChatGPT.
✔ Basic administrative skills and logical thinking abilities.
✔ Ability to work independently, manage time effectively, and stay organized.
✔ Familiarity with ATS systems, LinkedIn, and social media platforms.
✔ Basic editing, writing, and proofreading skills.
✔ High school diploma or equivalent required; some college education preferred.
✔ Discretion in handling confidential information.
✔ Comfortable working within a secure virtual environment.
