Job description

ITHAKA’s mission is to expand access to knowledge and education around the world. Our services — Artstor, JSTOR, Portico, and Ithaka S+R — enable people everywhere to learn, to grow, and to overcome historical barriers to education. In carrying out our mission, as employees we feel a deep responsibility to each other and our well-being, and are committed to building and sustaining a diverse, equitable, and inclusive workplace.

The Role

The Marketing team at ITHAKA is looking for a highly-collaborative, detail-oriented, and organized Senior Marketing Project Coordinator to enhance team productivity and optimize campaign execution.

In this role, you’ll streamline workflows, improve communication, and ensure marketing initiatives are delivered on time and within budget. You’ll collaborate with internal stakeholders and external contractors, proactively identifying opportunities for process improvement and guiding brainstorming sessions to drive meaningful change. Your work will create an environment in which everyone can do their best work without being distracted or delayed by problems with tools or processes.

Success in this role requires strong project management skills, problem-solving abilities, and emotional intelligence. You’ll report to the Director of Marketing Enablement and support the broader Marketing team.

Responsibilities

  • Manage and optimize marketing workflows to ensure seamless execution of campaigns and projects.
  • Use Agile project management best practices to prioritize initiatives based on data-driven insights.
  • Track and report project progress, providing timely updates and escalating issues as needed.
  • Facilitate effective communication among marketing team members, cross-functional stakeholders, and external contractors.
  • Lead project retrospectives to document lessons learned and improve future initiatives.
  • Monitor constraints and dependencies, proactively addressing risks to keep projects on track.
  • Build strong relationships across teams and leadership to align priorities and ensure smooth collaboration.
  • Coach and mentor colleagues, fostering a culture of continuous improvement and operational excellence.
  • Drive evidence-based improvements in efficiency, productivity, and overall team health that result in sustainable increases in speed and quality of outcomes.

Experience and Skills

  • 3+ years of project management experience leading cross-functional marketing projects (certification preferred).
  • Degree in Marketing, Communications, or a related field (or equivalent experience).
  • Proficiency with project management platforms such as Asana or monday.com.
  • Experience working with marketing teams to execute campaigns and optimize workflows.
  • Strong attention to detail, organization, and time management skills.
  • Proven ability to improve systems and processes to enhance team performance.
  • Excellent communication and stakeholder management skills, with the ability to build consensus, inspire teams, and lead effectively through influence rather than authority.
  • Ability to navigate complex discussions, foster collaboration, and resolve challenges effectively while maintaining a positive team dynamic.
  • Adaptability and resilience in dynamic, agile environments.
Work Authorization and Sponsorship

ITHAKA is not currently considering candidates who require any type of immigration sponsorship (additional work authorization or permanent work authorization) now or in the future to work in the United States.
