We’re seeking a highly organized and adaptable Administrative Assistant to become the backbone of our client’s operations. Responsibilities
  • Craft professional handover manuals and tender documents that showcase our client’s expertise and win new projects
  • Manage day-to-day administrative tasks, including scheduling and basic payment reconciliation, to keep operations running smoothly
  • Master industry-specific software like Simpro and Bluebeam to streamline project management and document control processes
  • Keep tender forms and project pricing information up-to-date, ensuring our client stays competitive in the market
  • Create and maintain an efficient system for organizing job folders, making information easily accessible to the team
  • Support contract and project administration, becoming an integral part of the project lifecycle
  • Utilize the Estimate One portal to log and track quotes, helping to secure new business opportunities
  • Develop and maintain detailed spreadsheets for quote and project tracking, providing valuable insights for decision-making
  • Take charge of setting up basic Occupational Health and Safety documents, including Job Safety Analyses (JSAs), to maintain a safe work environment
  • Learn financial processes to provide backup support, expanding your skills and value to the team
Requirements
  • Proficiency in Microsoft Excel (basic to intermediate level) - your spreadsheet skills will be put to good use!
  • A keen eye for detail and a passion for keeping things organized in a fast-paced environment
  • Quick learner with the ability to adapt to new software systems - tech-savvy candidates will thrive in this role
  • Excellent written and verbal communication skills to effectively collaborate with team members and create professional documents
  • Basic understanding of project management principles - we’ll help you develop this further on the job
