Job description

As a Senior Executive Assistant, you will be a key partner to the CEO and leadership team, ensuring seamless operations, efficient decision-making, and execution of strategic priorities. You will manage executive communications, oversee the CEO’s inbox, drive special projects, and optimize workflows across the business.

 

This role is ideal for someone highly organized, detail-oriented, and proactive, who thrives in a fast-paced environment and is eager to take on responsibilities beyond traditional executive support.

Key Responsibilities

Executive & Personal Support

  • Manage the CEO’s inbox, prioritize communications, and draft responses to ensure seamless correspondence.
  • Oversee complex scheduling, meeting coordination, and agenda preparation.
  • Provide personal assistance (e.g., travel planning, appointments) to streamline the CEO’s daily workflow.
  • Prepare presentations, reports, and briefing materials for key meetings.

Leadership Coordination & Communication

  • Serve as the central liaison between the CEO and the leadership team.
  • Facilitate cross-functional collaboration by tracking action items and ensuring timely follow-ups.
  • Plan and coordinate leadership offsites, internal meetings, and key company events.

Special Projects & Workflow Support

  • Owning master access to sensitive, high-impact, systems such as Shopify, Paypal, and GSuite 
  • Assist in coordinating projects of special interest to leadership by scheduling meetings, preparing documentation, and tracking progress.
  • Support project leads with research and data collection to inform decision-making.
  • Monitor project timelines and updates to ensure milestones are met

 

Qualifications

  • 3+ years of experience supporting a CEO or executive(s) in a fast-paced environment.
  • Strong ability to anticipate needs, solve problems proactively, and own high-level initiatives.
  • Exceptional organizational and multitasking skills with a track record of managing multiple priorities effectively.
  • Outstanding written and verbal communication, with a focus on clarity, discretion, and professionalism.
  • Proficiency in productivity tools such as Google Suite, Slack, Notion, and Asana (or similar).
  • Comfortable working in a remote-first, dynamic environment with a global team.
