Role overview

As an Event Project Manager, you will be responsible for planning, coordinating, and executing a wide range of events, ensuring their successful delivery from concept to completion. This role requires exceptional organizational skills, attention to detail, and the ability to work collaboratively with cross-functional teams and external partners. Success in this role involves creating memorable and impactful events that align with our organization's objectives and leave a positive impression on participants.

Key Responsibilities:

  1. Event Planning & Execution (Across Multiple Locations)

  • Organize and coordinate events in multiple company locations, ensuring consistency in experience and seamless execution.

  • Develop event strategies aligned with company goals, including wellbeing initiatives, team-building activities, and charity-focused events.

  • Manage event logistics, including venue setup, catering, equipment, transportation, and guest registration (in collaboration with the Workplace Experience team when needed).

  1. Budget & Vendor Management

  • Assist in budget planning, tracking expenses, and negotiating vendor contracts to ensure cost-effective solutions.

  • Coordinate vendor payments and ensure financial adherence to approved budgets.

  • Source and manage external event service providers across various locations.

  1. Content & Program Coordination

  • Support content development, working with speakers and presenters to align on event agendas and materials.

  • Ensure seamless execution of audiovisual elements, stage design, and interactive experiences.

  1. Integration with Company Goals & Employee Experience

  • Align event planning with broader company goals, embedding wellbeing programs, sustainability efforts, and engagement initiatives.

  • Support internal team-building activities and events that strengthen company culture.

  • Collaborate with internal departments to ensure events reflect key company values and strategic objectives.

  1. Gifts & Recognition Management

  • Oversee gift selection, procurement, and delivery as part of major celebration projects (e.g., Winter Celebration, Company Anniversary).

  • Ensure timely distribution of gifts across different locations.

  1. Communication & Stakeholder Engagement

  • Work closely with the Event Team and Communications Team to execute promotional strategies.

  • Maintain strong relationships with internal teams and event partners.

  • Provide high-level customer service to participants and manage event-related inquiries.

  1. Post-Event Evaluation & Reporting

  • Gather participant feedback and analyze event impact.

  • Prepare reports with key insights and recommendations for future improvements.

Required Skills:

  • Proven experience managing events or corporate celebrations.

  • Strong organizational and project management skills, with the ability to execute multiple events smoothly. 

  • Good communication and interpersonal skills for team collaboration and external coordination.

  • Budgeting experience with attention to financial constraints and cost efficiency.

  • Proficiency in event management tools (e.g., Asana, Slack, Confluence) and office software. 

  • Creative problem-solving skills for adapting to event changes and challenges.

  • Good knowledge of wellbeing and CSR activities, aligning events with company values.

  • Proficient in English (Upper Intermediate or higher); Ukrainian is a plus.
