Job description

This is a remote position.

Key Responsibilities
Document Preparation and Management:
  • Assist in drafting and preparing family law documents, including client agreements, parenting plans, financial statements, consent orders, and court forms.
  • Draft professional correspondence to clients, courts, and external parties.
  • Organise and maintain electronic filing systems for efficient document retrieval and case management.
  • Conduct basic legal research to support lawyers in family law matters.
  • Assist in preparing briefs to counsel and compiling supporting documents.
Client File Management:
  • Maintain and manage client files throughout family law matters, ensuring all documentation is complete and up to date.
  • Monitor and update matter tasks, calendars, key court dates, deadlines, and schedules.
  • Liaise with clients and third parties (such as barristers, valuers, and mediators) to coordinate documentation and appointments.
  • Collate and check client documents against required checklists (e.g., financial disclosure).
  • Track important case milestones and procedural timelines.
Client Interaction:
  • Communicate with clients to collect necessary personal, financial, and parenting information.
  • Provide regular updates to clients on the progress of their matters.
  • Schedule client meetings, conferences, and mediations, ensuring clients are well-informed of next steps.
Administrative Support:
  • Coordinate appointments, court hearings, mediations, and meetings for the family law team.
  • Manage incoming calls, emails, and correspondence, ensuring timely and professional responses.
  • Perform general administrative tasks such as photocopying, scanning, filing, and data entry.
  • Assist in the preparation of articles and resources on family law topics.
  • Support marketing activities by updating family law-related data and assisting with reports.

Requirements
Qualifications and Skills:
  • Certificate or diploma in Legal Studies, Business Administration, or a related field (desirable but not essential).
  • Previous experience as a Legal Assistant, Legal Secretary, or Administrative Assistant within a family law firm or similar legal environment.
  • Understanding of family law procedures, court processes, and legal terminology (desirable).
  • High level of attention to detail and accuracy.
  • Strong organisational and time management skills, with the ability to prioritise tasks and meet deadlines.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office (Word, Outlook, Excel) and legal practice management software (experience with LEAP, Smokeball, or similar is an advantage).
  • Ability to work independently and as part of a team.
  • Professional, empathetic, and client-focused approach.
