Job Title: Executive Assistant to the CEO

Type: Full-Time, Remote

Working Hours: Mondays - Fridays 8:30 am - 5:00 pm CST

Compensation: $1,800-$2,500

Job Summary:

We seek a highly organized and proactive Executive Assistant to support our CEO in the coaching and personal development industry. The ideal candidate will be a master multitasker, with exceptional communication skills and a passion for helping executives maximize their efficiency. You’ll play a crucial role in ensuring the smooth operation of daily tasks, scheduling, client management, and business development activities.

Key Responsibilities:

  • Administrative Support: Manage the CEO’s calendar, including scheduling meetings, calls, and coaching sessions. Coordinate travel arrangements and maintain up-to-date records.

  • Client Relations: Serve as the first point of contact for clients and partners. Assist with onboarding new coaching clients, and ensure timely communication and follow-up.

  • Project Management: Help manage projects and timelines, ensuring deadlines are met. Track progress on key business initiatives and provide regular updates to the CEO.

  • Content & Communication: Assist in drafting and proofreading communications, presentations, and newsletters. Maintain client databases and manage correspondence with external stakeholders.

  • Event Coordination: Organize workshops, webinars, and in-person events. Handle logistics, participant communication, and follow-ups.

  • Social Media & Marketing Support: Assist in scheduling and managing the CEO’s social media presence, including content creation and engagement with the online community.

  • Document Management: Prepare and organize documents, reports, and presentations. Maintain confidentiality and manage sensitive information with discretion.

  • Research & Analysis: Conduct industry research, and competitor analysis, and gather data to support the CEO in decision-making and strategy development.

  • Coaching Session Preparation: Ensure all necessary materials and resources are ready for coaching sessions. Handle pre-session prep and post-session client follow-up as needed.

  • Ad Hoc Tasks: Provide support on any miscellaneous tasks to support the growth of the business, including personal assistance as required.

Key Qualifications:

  • Experience: Minimum 3-5 years of administrative or executive assistant experience, ideally in a coaching, personal development, or service-based business.

  • Skills: Excellent written and verbal communication skills, strong organizational abilities, and a keen eye for detail. Proficient in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Asana, Trello).

  • Tech-Savvy: Comfortable with technology and adept at learning new systems and tools (experience with scheduling software, CRM systems, and online marketing tools preferred).

  • Interpersonal Skills: High level of emotional intelligence, professionalism, and a friendly demeanor. Ability to manage multiple priorities and communicate effectively with a diverse range of clients and stakeholders.

  • Self-Starter: Ability to work independently, anticipate needs, and stay one step ahead. Comfortable in a fast-paced, dynamic environment.

  • Industry Knowledge: Familiarity with the coaching and personal development industry is a plus, but not required.
