UPMC Hillman Cancer Center is hiring a full-time Registry Coordinator. This role acts as a quality improvement and regulatory coordinator to the UPMC Network Registry. The role coordinates quality initiatives and training staff at the assigned facility and ensures all staff are conducting quality assurance and training staff uniformly. The coordinator works with the manager to coordinate the workload of staff members and ensures staff conducts activities in accordance with defined institutional objectives, Commonwealth of Pennsylvania Department of Health requirements as monitored by the Pennsylvania Cancer Registry (PCR), and established standards set forth by American College of Surgeons Commission on Cancer (ACOS) and the North American Association of Central Cancer Registries (NAACCR). This role works closely with the Manager of Clinical Registry Information Services, Director of Registry Information Services, UPMC Cancer Center Directors, Clinical Directors, Information Systems Department personnel, statisticians and clinical investigators to work toward a fully integrated oncology information system with the UPMC Network Registry data as an integral component. The coordinator serves as a liaison with local, regional and national cancer registries, the American Cancer Society, PCR, ACOS, and professional organizations.

Responsibilities:

  • Work with the Manager, Clinical Registry Information Services to coordinate the approval and completion of data requests for cancer incidence statistics (non-research requests) from any individual, hospital, or external agency as needed. Work closely with the members of the cancer committee and attends cancer committee meetings on at least a quarterly basis. Assist the Manager and Cancer Committee with the preparation of the annual reports as required for UPMC Presbyterian Shadyside.
  • Conduct monthly reporting of required data sets to the Pennsylvania Department of Health in accordance with state law and acts as liaison to PCR. Ensure the annual reconciliation lists provided by the PCR are completed accurately. Act as a backup to perform time and attendance in the manager's absence.
  • Conduct sessions to educate staff on new requirements and standards as well as identified problem areas. Perform annual review of analytic cases to ensure the following: (a) unknown primary sites do not exceed 10% of the total analytic caseload; (b) the unknown stage rate is less than or equal to 10% of the total analytic caseload for the top 10 sites; and (c) not applicable stages only apply to the appropriate sites.
  • Submit data to the NCDB on an annual basis and ensure edits are conducted properly and data is cleaned and re-submitted as necessary. Acts as a contact person for the Commission on Cancer. Act in the role of nosologist for the National Lung Screening Trial funded by the National Cancer Institute, or assign this task to appropriate staff.
  • Participate in local, regional, and national educational activities. Attends tumor boards on a quarterly basis to keep abreast of new diagnoses presented at UPMC and new treatments and technologies offered at UPMC. 21. Performs in accordance with system-wide competencies/behaviors.22. Performs other duties as assigned. Indicates essential job responsibility.
  • Conduct timely, complete and accurate abstracting and data analysis functions and works with Outcomes Specialists to ensure timely and accurate case finding and follow-up. 50% of total time designated to abstracting. Design/implement quality control and process improvement systems for these functions when necessary. Conduct automated case finding utilizing Medipac and distributes pathology case finding to appropriate staff.
  • Work with the Manager, Clinical Registry Information Services, to set quality standards for the entire UPMC Network Registry Staff. Prepare cases for physician quality assurance on a weekly and monthly basis. Perform weekly peer review of Presbyterian Shadyside staff to ensure quality standards are met.
  • Generate suspense lists when needed and distributes to appropriate staff. Work with the Manager, Clinical Registry Information Services, to develop, modify and implement policies and procedures for the UPMC Network Registry consistent with requirements set forth by hospital, Health System, state and federal regulations.
  • Provide leadership to UPMC Presbyterian Shadyside staff and acts as a resource for staff to utilize for questions and concerns regarding daily activity and workflow. Ensure staff is aware of and abiding by all hospital, UPMC Health System, state and federal regulations. Keeps staff informed of any changes.
  • High school diploma and two years Cancer Registry experience.
    • Associate's or bachelor's degree in Health Information Management preferred.
  • Oncology Data Specialist required.
  • Ability to successfully supervise a variety of projects and teams in order to meet deadlines.
  • Ability to be flexible in response to sudden change in workload and/or personnel.
  • Strong analytical skills using software applications.
  • Proficient use of computers and a variety of health care information systems. Strong interpersonal and communication skills necessary to establish and maintain effective working relationships with employees throughout the UPMC and UPMC Network Registry, administration, physicians, statisticians and clinical investigators. Associate's or bachelor's degree in Health Information Management preferred.

Licensure, Certifications, and Clearances:

  • Registered Health Information Administrator (RHIA) or Registered Health Information Technician (RHIT) preferred.
  • Oncology Data Specialist required.
