Job description

Sheppard, Mullin, Richter & Hampton LLP, a global Am Law 50 firm, is seeking an experienced Matter Mobility Analyst.

This position can be based in any of our U.S. offices: Downtown Los Angeles, Century City, Orange County, Del Mar, San Diego, San Francisco, Silicon Valley, Dallas, Houston, Chicago, Washington DC, or New York. There is only one opening.

  • This position has a remote work arrangement with the ability to work from home.

The Matter Mobility Analyst supports the Compliance and Matter Mobility team within Sheppard Mullin’s Office of the General Counsel. This position is responsible for managing transfer of electronic and physical client matter records into and from the Firm due to lateral attorney onboarding and departing firm personnel, respectively. The Matter Mobility Analyst is additionally responsible for coordinating the return/transfer of client matter records due to requests from clients, disengagement, subpoenas or other discovery requests.

Responsibilities

  • Serve as an initial point of contact welcoming incoming lateral attorneys to the Firm.
  • Principal liaison with counterparty law firms to receive and process client departure notification emails/authorizations and transfer requests.
  • Maintain regular and consistent communication with matter case teams across the Firm to compile client records from all data sources for file transfers.
  • Collaborate with the Records department to oversee the transfer of physical records into the Firm in accordance with Firm policy.
  • Review client and other Firm records prior to transfer to prevent the inadvertent release of unauthorized Firm data.
  • Ensure correct retention schedules and dispositions are applied to inbound records and copies of transferred records.
  • Contribute to ongoing process improvements, system usage and technology improvements.
  • Serve as a resource to answer questions regarding the transfer and movement of client and Firm records.

Essential Functions Of Job

  • Conduct intake interviews and meetings to effectively articulate Firm policy and expectations to incoming laterals.
  • Manage the onboarding of client matter data to correctly prioritize, classify and import client records in collaboration with Practice Technology, Information Governance, IT and other departments.
  • Ensure requests for the return/transfer of client records are timely processed in alignment with the Firm’s obligations and applicable jurisdictional rules and procedures.
  • Collect and audit information related to transferring client records to provide metrics and status reports as requested by management.
  • Manage the review of client records and assist with training and developing guidelines for Matter Mobility Reviewers.

Qualifications And Experience

Required Qualifications:

  • 5+ years’ experience managing client data migration or similar legal function within the EDRM
  • Ability to develop, draft and communicate workflows for a variety of functions
  • Strong problem solving and interpretation skills
  • Excellent interpersonal and communication habits
  • Capable of working collaboratively with attorneys and staff at all levels
  • Proven aptitude to quickly learn and incorporate new technology into workflows as needed
  • Detail-oriented with an emphasis on producing high quality and accurate work product with minimal supervision

Education

Required: Bachelor’s Degree

Preferred: Master’s Degree or other post-baccalaureate training/certifications

Major: Information Systems/Information Technology related subject

Computer/Software Knowledge

Required: NetDocuments or iManage; Microsoft Excel; Microsoft Office 365

Preferred: Windows CMD; SQL Query

Work Environment

  • You will be based in one of our local Sheppard Mullin offices but will be allowed to work from home.
  • You are required to come into the office on an as-needed basis.
  • Overtime will be required on occasion as the workload demands.

Travel Requirements

Less than 10%.

California: The pay range for this position is $46.00 to $62.00 per hour.

New York: The pay range for this position is: $49.00 - $66.00 per hour. Please note that the foregoing compensation information is a good-faith assessment associated with this position only and is provided pursuant to the New York City Salary Transparency Law.

Washington DC: The pay range for this position is: $46.00 - $62.00 per hour. Medical, vision, and dental coverage is available, including coverage for dependents and domestic partners. Please note that the foregoing compensation and benefit information is a good-faith assessment associated with this position as of the time of this posting and is provided pursuant to the District of Columbia Wage Transparency Omnibus Amendment Act of 2023.
