The Opportunity
Hi, I’m Stefania; Manager, Project Coordination & Customer Support at Thrive Health. We’re looking for a Project Coordinator to join the team! The Project Coordinator will play a key role in overseeing the flow and execution of various projects within our organization. They will collaborate closely with technical project managers, implementation specialists, and stakeholders to ensure that all project milestones are met and delivered successfully.
What Your Day-to-Day Will Look Like:
Project Planning & Coordination:
Support the technical project managers in defining project goals, objectives, scope, and deliverables. Assist with breaking down large projects into manageable tasks and setting achievable timelines;
Coordinate the day-to-day progress of each project phase, ensuring that all assigned tasks are completed on time and within scope. Help prepare project plans, schedules, and work breakdown structures to ensure clarity and alignment among team members;
Communication & Collaboration:
Act as the point of contact for project teams, to facilitate effective collaboration and information sharing with internal departments, team members, and external stakeholders;
Schedule and lead project meetings, including kick-off meetings, progress updates, and review sessions, ensuring that discussions are documented and action items are clearly outlined;
Share meeting summaries and action plans with the Manager, Project Coordination for review to confirm alignment;
Communicate project changes, updates, or issues to relevant stakeholders, ensuring that everyone remains aligned on expectations and progress;
Task Tracking & Reporting:
Maintain and update project management tools (e.g. Jira) tracking the progress of each task and adjusting timelines as necessary;
Prepare regular status reports for the Manager, Project Coordinator, Technical Project Manager and stakeholders, summarizing completed tasks, upcoming milestones, potential risks, and any required adjustments to project plans;
Ensure all project documentation is properly organized and stored for easy access and review;
Resource Coordination:
Problem Solving & Issue Resolution:
Proactively identify project challenges, such as constraints, timeline delays, or communication barriers, and work with technical project managers to overcome these challenges;
Support risk management by anticipating potential issues that could impact project timelines or quality, bringing these to the attention of the Manager, Project Coordinator and technical Project Manager with suggestions for mitigations and for further review and insight;
Serve as a non technical point of contact for team members needing assistance with unforeseen challenges or task adjustments;
Quality Assurance:
Collaborate with Technical Project Managers to ensure all project deliverables meet company standards, project requirements and client expectations, assisting with quality checks and coordination with other departments;
Assist in reviewing completed tasks or milestones to confirm that they meet defined quality metrics and adhere to project guidelines;
Provide feedback and suggestions to the Project Coordination team to improve processes, reduce errors, and streamline workflow for better quality and efficiency;
Continuous Improvement:
Document project outcomes, challenges, and successful practices to contribute to organizational learning and improvement;
Participate in post-project reviews and project coordination “lessons learned” sessions to identify opportunities for process optimization;
Proactively suggest ways to streamline workflow, enhance efficiency, and improve project coordination and delivery processes;
The Skills You Bring:
Bachelor’s degree in Business, Project Management, or related field (or equivalent experience);
3 - 5 years experience in project coordination or similar roles;
Strong organizational skills with strong attention to detail;
Effective documentation and communication skills;
Proficiency in project management software (e.g., Asana, Trello, or Jira);
Ability to manage multiple tasks in a fast-paced environment;
Problem-solving skills and a proactive mindset;
The Nice-to-Haves:
Project Management Certification;
Experience in fast-paced, tech-driven environments;
Knowledge of project management best practices;

Salary Information: The base salary range for this role is determined by a number of factors, including but not limited to job-related skills, experience, and relevant education or training. The base salary range for this role is $63,000 - $69,000/year.
