Job description

We are seeking a highly organized and proactive Executive Assistant & Order Processor to join our team. This dual-role position is ideal for someone who is detail-oriented, adaptable, and eager to take on a mix of operational and executive support responsibilities. The ideal candidate will have experience with SAGE software (Promotional Product research, customer presentation, quoting, etc.), and Chamber Nation MMS software (membership management, CRM, event registration forms, etc.), as well as a strong willingness to assist with executive-level tasks such as managing emails, categorizing transactions in QuickBooks, updating Excel spreadsheets, and drafting correspondence using AI tools.

Must Haves:

  • Experience with SAGE software and order processing is strongly preferred. 
  • Experience with Chamber Nation software is strongly preferred. 
  • Familiarity with QuickBooks or a willingness to learn.

Responsibilities:

Order Processing/Sales Responsibilities:

  • Learn SAGE software and research promotional products per customer requests. 
  • Create customer presentations in SAGE to share product options with customers.
  • Accurately process customer orders and purchase orders using SAGE software.
  • Coordinate with sales, customer service, and vendors to ensure timely order fulfillment. 
  • Communicate with customer and suppliers as needed. 
  • Maintain organized records of orders, shipments, and returns. 
  • Stay informed about promotional products and industry trends. 
  • Provide excellent customer service by addressing order-related inquiries. 

Executive Assistant Responsibilities:

  • Manage and categorize incoming emails, prioritizing important messages. 
  • Learn MMS software and keep membership records updated Using MMS software, create event registrations and run reports. 
  • Update calendar in MMS. 
  • Assist with creating social media and newsletter graphics. 
  • Assist with creating a weekly newsletter. 
  • Assist with bookkeeping tasks, including transaction categorization in QuickBooks.
  • Draft, edit, and format letters, emails, and reports using AI tools. 
  • Help organize schedules, appointments, and follow-ups. 
  • Support general administrative and operational tasks to improve efficiency.

  • Job Timings: Evening/Night shift following US EST Time Zone 
  • Office location: Off to Shahrah-e-Faisal, PECHS, Karachi

Regarding the remote, the candidate will arrange a separate workspace and the required gadgets (Laptop-Corei5 6th generation minimum, noise cancelling headphones, webcam, power backup).
