Job Title: Chief Executive Assistant
Location:
Remote (CST Time Zone)
Salary Range:
up to 3500 USD

Work Schedule:
Monday - Friday, 7:30 AM to 4:30 PM (CST)

Position Overview:


We are looking for a Chief Executive Assistant with Operations Support to partner closely with the CEO and leadership team. This role goes beyond traditional administrative duties it requires someone who can take ownership of projects, track key deadlines, and drive execution across multiple initiatives.

The ideal candidate will be a structured thinker who thrives in fast-paced environments, is proactive in identifying solutions, and has the ability to manage both executive priorities and operational workflows. Key Responsibilities:

Executive Support & Strategic Scheduling:

  • Manage the CEOs calendar, ensuring seamless scheduling of meetings, calls, and events.
  • Act as a gatekeeper, prioritizing meetings and minimizing distractions.
  • Assist with drafting and managing correspondence, emails, and internal/external communications.
  • Prepare briefs, summaries, and talking points for key meetings.


Operational & Project Management Support:

  • Own task tracking, deadline management, and follow-ups to keep initiatives moving.
  • Support internal projects, team onboarding, and process improvements.
  • Track key operational metrics and business priorities, ensuring alignment with company goals.
  • Identify opportunities to streamline processes and improve efficiency.


Leadership Team & Stakeholder Coordination:

  • Act as a liaison between the CEO, leadership team, and external partners.
  • Support hiring/onboarding of global team members to ensure smooth integration.
  • Facilitate cross-functional communication and align priorities across teams.


Proactive Problem-Solving & Decision Support:

  • Take ownership of miscellaneous high-impact assignments as they arise.
  • Analyze data and insights to support better decision-making.
  • Anticipate needs, flag potential roadblocks, and proactively resolve issues.


Qualifications:

Must-Haves:

  • Fluent English (C1+) with excellent verbal and written communication skills.
  • Proven experience as an Executive Assistant or Chief of Staff supporting senior leaders.
  • Strong background in calendar management, task tracking, and workflow optimization.
  • Highly organized, structured, and detail-oriented must be able to manage multiple priorities.
  • Ability to work independently and take initiative CEO is looking for someone who can run with tasks.
  • Experience working in fast-paced environments with visionary leaders.
  • Tech-savvy, forward thinking and keen on implementing AI workflows into the business


Nice-to-Haves:

  • Experience in operations, project management, or process improvement.
  • Experience in construction, general contracting, or a similar industry.
  • Background in startups, fast-growing businesses, or executive-level support.
  • Familiarity with remote team coordination and hiring processes.
