This is a remote position.

Mandarin-English Bilingual Executive Assistant

Schedule: Monday to Friday, 9:00 AM - 6:00 PM PH (1-hour unpaid break)
Language Requirement: Fluent in Mandarin and English

Job Summary

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive support in managing daily operations. This role requires excellent bilingual communication skills (Mandarin & English), a problem-solving mindset, and the ability to handle multiple responsibilities efficiently. The ideal candidate will be a resourceful professional who thrives in a fast-paced environment.

Key Responsibilities

Third-Party Service Provider Management

  • Act as the main point of contact for service providers (e.g., IT support, cleaning, vendors).
  • Negotiate contracts, manage invoices, and oversee service quality.

Recruitment Support

  • Assist with posting job openings, screening resumes, and scheduling interviews.
  • Communicate with candidates and coordinate interview logistics.

Daily Operations Management

  • Manage executive calendars, schedule meetings, and arrange travel.
  • Prepare reports, presentations, and maintain organized records.
  • Handle correspondence, including email and official documents.

Visa Application Assistance

  • Gather documents and support the visa application process.
  • Liaise with immigration authorities and track application status.

Finance Team Liaison

  • Submit expense reports, track invoices, and assist with bookkeeping tasks.
  • Ensure proper documentation and financial record-keeping.

Social Media Monitoring

  • Monitor social media accounts for mentions, comments, and messages.
  • Alert relevant parties to urgent issues and assist with content management.

Ad-Hoc Tasks

  • Perform additional administrative and operational support tasks as required.
Qualifications & Skills
  • Fluent in Mandarin & English (spoken and written).
  • 3+ years of experience in an Executive Assistant, Personal Assistant, or similar role.
  • Strong organizational and multitasking skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
  • Experience handling sensitive/confidential information with discretion.
  • Ability to work independently with a problem-solving mindset.
  • Prior experience in recruitment, finance support, or visa processing is a plus.
