Join our team as a Bilingual Maintenance Virtual Assistant!


We are seeking a Bilingual Maintenance Virtual Assistant to manage and coordinate routine maintenance and repairs. You will handle requests, assign work orders, track progress, manage expenses, and conduct inspections. Communication with tenants about schedules and issues is essential, as well as being available for emergencies and urgent repairs. Accurate record-keeping and ensuring tenant satisfaction are key responsibilities.


Key Responsibilities:

  • Collaborate with property managers to schedule routine maintenance and repairs for managed properties. Ensure that maintenance tasks are carried out efficiently and promptly.
  • Maintain relationships with third-party contractors, repair technicians, and service providers. Negotiate service contracts and oversee their performance to meet the company's standards.
  • Receive and process maintenance requests from tenants and property managers. Assign work orders to appropriate vendors, track progress, and ensure timely completion.
  • Monitor and control maintenance expenses to stay within budget limits while maintaining property quality standards.
  • Conduct regular inspections and quality checks to ensure maintenance and repair work is completed to the highest standards. Address any deficiencies promptly.
  • Generate maintenance reports, performance metrics, and cost analysis to provide insights for decision-making and improvement.
  • Maintain accurate records of maintenance activities, vendor contracts, and warranties. Keep all property-related documents organized and up-to-date.
  • Communicate with tenants regarding maintenance schedules, access, and issue resolution. Ensure a high level of tenant satisfaction through excellent service.
  • Be on call to handle maintenance emergencies and urgent repair requests, collaborating with on-site staff or vendors to resolve issues swiftly.
  • Use virtual collaboration tools to coordinate and communicate with team members and vendors effectively.


Requirements

Qualifications:

  • 2 years of Customer Service experience in inbound/outbound US voice accounts
  • Proven experience in property management, maintenance coordination, or a related field.
  • Prior remote work experience is preferred.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in using virtual collaboration tools and property management software.
  • Knowledge of property maintenance, repair procedures, and vendor management.
  • Ability to work independently and proactively solve problems.
  • Exceptional attention to detail and commitment to quality.
