Job description

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Assisting with the full cycle of employee files including
    • Placing and updating ads for new staff

    • Setting up and confirming interviews with the hiring manager

    • Preparing job offers and sending to applicants

    • Assisting with admin related to onboarding such as sending employee handbook and enrolling in benefits

    • Managing schedule of performance evaluations

    • Documenting salary increases, change of status, performance warnings

    • Handling termination correspondence

    • Training on payroll system

  • Email management for owner

  • Scheduling meetings and calendar management

  • Assisting with projects as directed including accounting, marketing, operations etc.

  • Assisting with travel

  • Helping setup SOP’s and documentation (potentially using google sheets) or another program that integrates with QuickBooks Online and Bill.com

  • Assisting other colleagues related to the flow of attracting, qualifying, acquiring and onboarding new clients.

  • This role involves phone work, email follow up, CRM/online database work.

  • May assist with managing marketing email campaigns

  • Interfacing with key staff members

Key Qualifications:

  • 4-5 years of work experience including 1-2 years assisting an executive / owner

  • Fluency in English writing and speaking

  • Intermediate Excel/Google Docs

  • Tech savvy, able to learn new apps quickly

  • Must be able to communicate both on the phone and in email

  • Strong organizational skills and attention to detail

  • Ability to learn quickly

  • Demonstrated history of working US hours

  • Able to multi-task and support a fast-moving executive

Shift / Hours:

Monday Friday in one single shift, 8:00 AM EST 12:00 PM EST. Note this is +12 or +13 Philippine time, which will be 8:00 PM PHT 12:00 AM in PHT.
