The Role
Are you a natural orchestrator who thrives at the intersection of creativity and operational excellence? We are seeking a passionate Creative Production Manager to bring structure and strategy to our bustling creative team. As the only role of its kind at Ceros, you will have a unique opportunity to shape processes and drive efficiencies across the team. In this role, you will partner closely with the Head of Design to ensure the successful delivery of innovative, high-quality creative work.

You’ll be the glue that holds our creative process together, balancing big-picture strategy with the granular details. From managing an influx of creative requests to optimizing workflows, you’ll ensure every project is properly scoped, scheduled, and resourced. You'll play a key role in tracking timelines, identifying potential bottlenecks, and making sure deadlines are met without compromising quality. As the critical liaison between internal stakeholders, external partners, and the creative team, you'll drive alignment and collaboration at every stage. Key Responsibilities 

Creative Workflow Management

  • Partner with the Head of Design to manage the intake, prioritization, and assignment of creative requests, leading discovery sessions with stakeholders to clarify objectives, refine scope, and establish realistic schedules for successful project execution.
  • Develop and maintain efficient workflows to ensure projects are delivered on time and meet the highest standards.
  • Create detailed project plans, timelines, and resource allocation strategies to optimize team output.
  • A thorough understanding of the Ceros platform is instrumental in managing deliverables. 

Team Coordination & Leadership

  • Act as the primary point of contact for cross-functional teams submitting creative requests.
  • Facilitate collaboration within the creative team to ensure clear communication and alignment.
  • Support the Head of Design in managing team workload and capacity planning.
  • Foster a positive and productive environment that empowers the creative team to succeed.

External Resource Management

  • Onboard and manage relationships with external agencies, freelancers, and vendors.
  • Define deliverables, monitor the quality of work, and ensure external partners stay within budget and scope.
  • Ensure external resources align with brand guidelines and project expectations.

Operational Excellence

  • Continuously evaluate and improve creative processes and tools to enhance team efficiency.
  • Monitor project performance, track KPIs, and provide actionable insights to stakeholders to ensure projects stay on time and within budget.
  • Maintain accurate documentation of project progress, deliverables, and resource allocation.

Stakeholder Communication

  • Serve as a bridge between the creative team and other departments, ensuring transparency and alignment,
  • Provide regular updates on project statuses, potential risks, and solutions to stakeholders.
  • Manage stakeholder feedback effectively, facilitating constructive discussions and balancing creative vision with business objectives.
  • Set clear expectations from the start to ensure alignment and prevent surprises throughout the project lifecycle.

Practical stuff we anticipate you having

  • 5+ years in creative project management, digital deliverables, operations, or a similar role within a fast-paced environment.
  • Experienced in an agency environment working with creatives and multiple stakeholders
  • Proven ability to lead teams, manage conflict, and inspire collaboration,
  • Proficiency with project management tools (e.g., Clickup, Asana, Trello, Monday.com) and familiarity with design tools (e.g., Figma, Adobe Creative Suite, MS Office, Zoom, Slack).
  • Experience working within a CMS is a plus!
  • Excellent verbal and written communication skills, with the ability to manage multiple stakeholders effectively and build relationships.
  • Strong analytical skills with a proactive approach to addressing challenges and implementing solutions.
  • Adaptable to changing priorities and able to maintain composure under pressure.
  • Deep understanding of the creative process and ability to balance artistic vision with business needs.
