Job description

Essential Functions: In addition to working as prescribed in our Performance Factors specific responsibilities of this role include:

  • Serve as the primary point of contact between executives and internal/external stakeholders, maintaining professionalism and confidentiality.  
  • Manage and optimize executives’ calendars, coordinating schedules and resolving conflicts.  
  • Proactively anticipate executives’ needs by preparing materials, gathering insights, and ensuring readiness for meetings and events.  
  • Create polished agendas, reports, presentations, and other documentation for internal and external communications.  
  • Take accurate and concise meeting notes or summaries, organizing them for easy reference and future action.  
  • Conduct thorough research to support executive decision-making and streamline workflows.  
  • Foster internal communication by coordinating presentations and distributing critical updates.  
  • Acting as gatekeeper for TruBridge executives
  • Acting as the point of contact for executives, employees, clients and other external partners
  • Managing information flow in a timely and accurate manner
  • Managing executives’ calendars and set up meetings, both internally and externally
  • Format information for internal and external communication –meeting agendas, memos, emails, presentations, flow charts, reports
  • Take minutes during meetings and catalog for easy future reference/ or gathering data from meeting stakeholders including a synopsis
  • Conduct research and prepare reports on various topics for meetings
  • Facilitate internal communication (e.g. distribute information and schedule presentations)

Minimum Requirements:

Education/Experience/Certification Requirements

  • Bachelor’s degree or equivalent combination of education and relevant experience
  • 2 to 4 years of experience supporting multiple executives
  • Strong technical proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (e.g., Zoom, Teams, Slack).  
  • Exceptional organizational skills, with the ability to multitask, prioritize, and adapt in a dynamic environment.  
  • Professional demeanor with strong written and verbal communication skills.  
  • High level of discretion and confidentiality in handling sensitive information.  
  • Proactive problem-solver who takes initiative and thrives in a remote work environment.  
  • Excellent communication (written and oral) and interpersonal skills.
  • Strong organizational, multitasking, and time management skills.
  • Must be detail oriented and able to follow through on issues to resolution.
  • Must be able to act both independently and as a team member.
  • Ability to show confidence on the phone with internal and external customers
  • Familiarity with multiple applications
  • Active and attentive listening skills – be agile
  • Ability to receive and apply feedback, particularly related to quality
  • Ability to display a friendly, calm and professional demeanor at all times, even under times of high stress
  • Exhibit leadership qualities (assist with customer issues, provide constructive feedback)
  • Has advanced technical and system knowledge
  • Ability to be flexible and start and stop projects as demand shifts
