The Office Administrator and Local Executive Assistant will work closely with General Manager (with a direct reporting to this position), Management Team to provide administrative and operational support. The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and to coordinate and manage executive scheduling, planning and organize meetings and travel. The Office Administrator will be a member of Linxon location Management Team as well as POSH committee and will contribute towards the effective operation and facility management. This role is to perform a variety of administrative tasks and duties include providing support to entire business team, in daily office needs and managing our company’s general administrative activities.
This role also requires supporting multiple activities including support to new recruits/transferred employees in finding accommodation & school, arranging local transportation etc, handling day-to-day local employees’ issues related to administration, arranging team meeting/outings with all local support, coordination for medical check-ups/emergency, managing expenses, documentation collection etc. The office administrator ensures smooth running of our company’s offices and contributes to driving sustainable growth.
What will you do? /Key Responsibilities:
- Assisting and reporting to the General Manager.
- Manage calendar, travel/visa arrangements, appointments etc. for the General Manager and management team.
- Validate expense reports ensuring accuracy and compliance to corporate policies, procedures, and code of ethics.
- Coordinate office activities and operations to secure efficiency and compliance to company policies
- Ensure operation of Infrastructure equipment by coordinating with various service providers for preventive maintenance requirements; calling for repairs; maintaining equipment inventories.
- Contribute to team effort by accomplishing related results as needed.
- Coordinate office procedures and resolve administrative issues.
- Office and Facility management.
- Develop and update administrative systems to make them more efficient.
- Assist colleagues whenever necessary
- Greet and assist overseas/local visitors to the office.
Experience, Education and other Required:
- Bachelors in commerce/science/business administration with 6-7 years of experience in the field or in a related area
- Ability to handle confidential information with discretion
- Having exposure in Oracle, concur and Workday tool etc.
- Knowledge of office management systems and procedures
- Excellent time management skills, ability to multi-task and prioritize work with proactive approach and new ideas.
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills with strong organizational and planning skills
- Excellent knowledge of MS Office and program management software (PowerPoint, Excel, Word, etc.)
