Role Name: Administrative Assistant

Schedule:

  • 40 hours per week, Monday through Friday, 8 AM to 5 PM Florida Time

Client Timezone: EST (Eastern Standard Time)

Job Description

We are seeking a highly organized and adaptable Administrative Assistant / Virtual Assistant to join our thriving real estate team. Responsibilities
  • Manage and execute data entry and data polling tasks with meticulous attention to detail
  • Provide comprehensive back-office support, ensuring smooth day-to-day operations
  • Assist with follow-up tasks, maintaining a high level of organization and timeliness
  • Collaborate closely with the primary US-based assistant, offering support across various administrative duties
  • Handle incoming calls professionally, representing the company with a polished and friendly demeanor
  • Take detailed messages and promptly distribute email updates to relevant team members
  • Implement and refine standard operating procedures, contributing to the company’s efficiency
  • Juggle multiple priorities in a fast-paced environment, demonstrating strong time management skills
  • Contribute to the development of efficient work processes, offering innovative solutions when appropriate


Requirements
  • Excellent verbal and written communication skills in English, with the ability to interact professionally with clients and team members
  • Proficiency in basic computer applications, including Microsoft Office suite and data entry tools
  • Demonstrated attention to detail and commitment to maintaining high accuracy in all tasks
  • Quick learner with the ability to adapt to new procedures and technologies efficiently
  • Professional phone manner and capability to handle client interactions with poise and discretion
  • Self-motivated individual comfortable working independently in a remote setting
  • Basic understanding of office administration practices and procedures
  • Ability to work full-time, Monday through Friday, 8 AM to 5 PM EST
  • Reliable internet connection and a quiet, professional home office environment
  • While not required, familiarity with real estate terminology or processes is a plus
  • Enthusiasm for contributing to a growing team and willingness to take on additional responsibilities as the role evolves
