Title: Program Coordinator                                                    Reports to: Program Officer

Status: Contractor                                                                  Location: Vientiane, Laos (Home Office)

Role Summary:

 

The Program Coordinator (PC) will manage the day-to-day operations of Max’s program locally, as well as administrative and logistics requirements. They will work directly with cancer and other rare disease patients and healthcare professionals, including physicians, nurses, and pharmacists, to ensure that patients have access to medication, care, and support. The PC will support partners by facilitating the importation and distribution of products in the country. Additionally, the PC will be responsible for maintaining a good collaborative partnership with local patient organizations in implementing advocacy initiatives aligned with Max’s strategy.

 

Responsibilities:

 

  • Collaborate with the institutional partner to prepare, submit, and track importation applications for donated medical products, including travel to relevant authorities to facilitate the process. Provide support for customs clearance as required
  • Manage the day-to-day operations and administration of support programs in accordance with established guidelines
  • Support the partner physician team with patient application process by ensuring all required documents are completed and eligible patients are promptly enrolled in the program
  • Contact patients to ensure program compliance, and provide emotional support, resource referrals, and basic disease information, as needed
  • Amplify patient voices by collecting and sharing stories from patients and stakeholders
  • Report all known patient adverse events within 24 hours, in accordance with program guidelines, including all relevant source documents
  • Maintain and update patient database records accurately and promptly to ensure up-to-date information
  • Proactively communicate program progress and on-the-ground developments to the program officer
  • Support senior team in preparing reports and tracking progress
  • Maintain professional communication, both written and face-to-face, with government authorities, patients, healthcare professionals, and other key stakeholders to ensure the seamless implementation of support programs.
  • Handle requests tactfully by gathering feedback, identifying problems, and finding solutions.

 Qualifications:

 

  • Diploma required; bachelor's degree preferred in Logistics, Supply Chain Management, Social Work, Public Health, Nursing, or a related field. A background in Logistics and Supply Chain Management is highly desirable
  • A minimum of one year of professional experience in the fields mentioned above
  • Possess strong communication skills to effectively interact with patients, healthcare professionals, and other stakeholders at all levels
  • Fluent in English and Lao
  • Comfortable and proficient using a computer and phone as primary tools for the job
  • Well-versed with Microsoft Office including Word, Excel and PowerPoint\
  • Possess own transportation
