Job Summary:
Provide administrative support to the Human Resources Department and Fleet Department in carrying out various Company programs and procedures for all company employees. Primary responsibility involves onboarding and offboarding employees for both HR and Fleet data systems.
Essential Duties and Responsibilities
- Assist with the creation of job requisitions and posting open positions through ATS.
- Process employment applications and assist with setting up interviews and candidate pre-screening to include employment verifications and reference checks.
- Create offer letters and send them out to candidates.
- Conduct other employment activities including E-Verify, pre-employment screening consisting of setting up background screening, drug test, and physical (if applicable). Coordinate screening location based on home zip code or work location.
- Advise IT of new hire technical needs, if applicable.
- Create, maintain, and update employee files to document personnel actions such as personal data, compensation, benefits, tax data, location, performance reviews or evaluations, and termination date and reason.
- Send out welcome and onboarding emails for new hires.
- Initiate new hire onboarding process within HRIS.
- Monitor document completion and coordinate with new hires on ensuring completion prior to start date.
- Review screening results and notify hiring managers of adverse results and/or outstanding documents.
- Advise IT, Fleet and Safety of new hire start date/manager/location.
- Responsible for On-Boarding and conducting New Hire Orientations, to include setting up and sending out New Hire Orientation meeting invite and conduct new hire orientation each Monday morning, if new hires join.
- Processes I-9’s of new employees and conducts e-Verify on new hires.
- Hire employees into current payroll system.
- Sync new hire into timekeeping system and invite new hire to use Time Tracker and set up their project access.
- Maintains HRIS records and compiles reports from database and/or personnel records, as needed.
- Assist Fleet Manager with gas credit card by adding new hires and removing employees that leave Benton.
- Assist Fleet Manager by adding new employees and removing terminated employees within the GPS monitoring system.
- Assist Director with Subcontractor documents and verifying their EIN through IRS.
- Process termination documents and conduct exit interviews for terminated/resignations of employees.
- Examine employee files to answer inquiries and provide information to authorized persons.
- Assist HR team with Company social media, Company Newsletter and Company Recognition program.
- Works with HR staff to develop and implement improved processes.
- Assists HR Generalist with payroll and benefits activities.
- Conduct research and analysis on various HR-related products and/or services to identify necessary changes in business processes to ensure efficient and accurate workflow and the best utilization of system capabilities to fit the business needs.
- Other duties as assigned.

- Bachelor’s degree in human resources or related discipline, preferred.
- Minimum three (3) years demonstrative experience with progressive degrees of responsibility in administration and human resources.
- Professional in Human Resources (PHR) certification is highly desired.
- Very strong organization and communication skills.

- Fast learner and adaptable when taking on new tasks and responsibilities.
- Exceptional customer service skills/knowledge of effective customer service practices.

- Proficient in Office 365 suite of products, Adobe Acrobat.
- Working knowledge of HR, payroll, background screening, timekeeping, and various accounting systems with preference for ADP Workforce Now, DISAWorks, Time Tracker, Sage Intacct.
- Knowledge of the following databases or programs a plus: Concur, Zoho, Samsara, SambaSafety, Power BI, Smartsheets, Coast Gas cards, IRS TIN Matching.
- Some knowledge and ability to maintain data flow; analyze, interpret and report on the various aspects of a computerized management information system.
- Some knowledge of research methods and techniques, and methods of report presentation.
- Ability to conduct surveys and analyze, interpret, and report findings.
