Position Summary

This position acts as the primary accounts payable specialist for the department. It is responsible for paying accounts for four dining centers, a central production kitchen, and a warehouse. The position will verify invoices daily, process invoices on a weekly basis for payment, reconcile vendor statements for all payments on a weekly or monthly basis, verify bid pricing, post all payments to vendors against their purchase order, and tally on a spreadsheet the charges from the various vendors for each unit. Other accounting and reporting duties may be assigned from time to time.

Required Job Qualifications

  • Two (2) years of experience in an occupational field related to the work assigned to the position
  • Demonstrated work experience in a fast-paced environment and capacity to meet due dates and timelines in an organized, efficient manner
  • Evidence of excellent written communication skills
  • Proficiency in Microsoft Office

Preferred Job Qualifications

  • Associate or Bachelor’s degree in accounting, finance, business administration or a closely related field
  • Two or more years of progressively responsible professional experience in a university environment
  • Ability to research accounts payable issues and generate possible solutions
  • Experience with Kuali Financial System
  • Excellent verbal communication and interpersonal skills to maintain a work environment where teamwork can thrive

Essential Duties

Job Duty Category Accounts Payable Duty/Responsibility

  • Develops procedures to analyze and verify all invoices for payments department-wide averaging over 9 million dollars annually and submitting 12,000 payment documents (PREQ, DV)
  • Applies charges from various vendors to the respective units and reallocates as needed numbers based upon established criteria
  • Designs and maintains accounts payable procedures to ensure that RDS staff is following department and university policies
  • Reviews reports of AP data for all department accounts, and provides the information to the appropriate RDS staff with recommendations for future purchases and fund reallocations
  • Analyzes all accounts payable-related data for the department and accurately posts payments/credits to university accounting system
  • Identifies and corrects billing discrepancies by reconciling vendor’s monthly statements of account to Kuali payment reports
  • Reviews weekly payments to project vendor spending on each PO; advises Procurement Manager/Storeroom of necessary changes to ensure prompt payments
  • Monitors disbursement vouchers to identify vendor payments that exceed dollar thresholds to determine if a PO is needed, to comply with CSU financial rules
  • Develops processes to maintain accuracy in financial records as pertains to AP and vendors
  • Coordinates monthly financial reconciliation of inventory adjustment and product transfers between the Storeroom, Central Production, and Dining units

  • Reviews vendor accounts and reports and communicate with appropriate staff as to any issues that need attention
  • Maintains regular contact with others outside the supervisory chain including unit managers, CSU Purchasing department and RDS Business Manager and executive chefs for the purpose of collecting and verifying information, problem solving and answering questions concerning account information and data and recommending fund distribution based upon historical financial data
