Job description

Job Overview

We are seeking a highly organized and detail-oriented Virtual Administration Assistant to provide administrative support and assist with key tasks related to student management and communication. The successful candidate will demonstrate proficiency in data entry, client management systems, and have a background in administrative tasks, working independently and remotely.

Job Description

  • Data Entry: Accurately enter student enrollments into the Student Management System (Wisenet) and issue confirmation letters to students.
  • Course Processing: Assist with processing course completions and maintaining a record of results in the system.
  • Certificate Verification: Verify first aid certificates and ensure accurate entry into the Student Management System.
  • Payment Reconciliation: Reconcile student payments across various platforms, including PayPal, Paysmart, and Xero.
  • CRM Management: Assist with contact management and perform data entry into the CRM system (HubSpot).
  • Student Communication: Help distribute communications to students through email and SMS templates.
  • Administrative Support: Provide general administrative and data entry assistance to the broader business team as required.

  • Requirements
  • Advanced Computer Skills: Proficiency in Microsoft programs (Word, Excel, PowerPoint, Outlook) and other relevant software tools.
  • Organizational Skills: Exceptional ability to prioritize tasks, manage time effectively, and maintain an organized workflow with strong attention to detail.
  • Client Management System Experience: Familiarity with using client management systems to manage contacts, records, and communications efficiently.
  • Customer Service Experience: Previous employment in a customer service-focused sector, demonstrating excellent communication and problem-solving skills.
  • Initiative & Self-Motivation: Strong ability to take initiative, work independently, and proactively address challenges while also being a collaborative team member.
