Job description

Position Overview:

We are seeking a skilled and professional Executive Virtual Assistant to support our executive leadership team. This role involves managing administrative tasks, preparing high-quality presentation materials, and serving as a point of contact for clients and stakeholders. The ideal candidate will have excellent organizational and communication skills, a proactive mindset, and the ability to handle sensitive information with discretion.

Key Responsibilities

Administrative and Scheduling Support

  • Manage the executive's calendar, scheduling meetings, appointments, and travel arrangements.
  • Handle correspondence, including drafting emails, memos, and other communications on behalf of the executive.
  • Maintain organized records and ensure timely follow-ups on tasks and deadlines.

Presentation Preparation

  • Create, edit, and format professional presentations and reports for internal and external meetings.
  • Conduct research, gather data, and ensure accuracy and alignment with organizational branding.
  • Collaborate with internal teams to obtain necessary content for presentation materials.

Client Interaction

  • Serve as a liaison between the executive and clients and partners.
  • Professionally represent the executive during client-facing interactions during virtual meetings.
  • Facilitate communication and ensure prompt resolution of client inquiries and concerns.

Event and Meeting Coordination

  • Assist in planning and coordinating meetings, events, and client engagements.
  • Prepare agendas, meeting notes, and action items as required.
  • Ensure the smooth execution of presentations and client meetings.

Qualifications

  • Bachelors degree or equivalent experience in business administration or a related field.
  • Proven experience as an Executive Assistant or in a similar role.
  • Experience in preparing client-facing presentations or materials.
  • Familiarity with project management tools and processes.
  • Strong attention to detail and problem-solving abilities.
